Case Western Reserve University Development Coordinator in Cleveland, Ohio
POSITION OBJECTIVE
The development coordinator directs the day-to-day administrative operations of the Mandel School Development Office, driving high-level performance of the development office and delivering critical support for donor and alumni engagement. Duties include budget and financial administration, gift processing, scheduling and planning donor meetings, executing acknowledgments, donor communications, stewardship, and assisting in the management of donor portfolios and relationships.
ESSENTIAL FUNCTIONS
- Manage the department's administrative daily operations, front office manager and problem-solver. Audit expense reports for Associate Dean and Senior Development Officers. Process reimbursements, requisitions, and other required financial and budgetary requests; reconcile the major gifts budget monthly, forecast future expenditures, and provide budget forecast recommendations. Partner with the Mandel School's Finance Department to process procurement and vendor payment approvals. Oversee inventory, procure office supplies, donor gifts, and special event needs while maintaining accurate documentation for budget reconciliation. Track and analyze expenses generated by department special events and travel costs, including flights, hotels, and car rentals. Streamline administrative functions between the central development office and the school. (25%)
- Strengthen top-level donor relationships by partnering with the Associate Dean to develop and implement outreach strategies, create funding concepts, and plan donor meetings. Maintain and analyze accurate and up-to-date records in the Advance system for development team portfolios. Leverage confidential donor and alumni records to evaluate giving history and relationship with the university, providing critical background data. (25%)
- Oversee the Associate Dean¿s calendar, organize and coordinate scheduling and logistics for meetings and events, including travel arrangements, hotels, and restaurants. Manage logistics and execution for small donor gatherings involving the Associate Dean and donors. Welcome visitors, accept and open mail, and deliver prompt, high-level customer service for alumni and donors. (15%)
- Oversee daily gift processing and donor acknowledgments. Collaborate with Development and Alumni Relations team members and Advancement Services to ensure gifts are accurately documented in the system and communications with donors are timely, accurate, and appropriately customized based on the size of the gift. - Input and extract data from CRM with precision to ensure data accuracy and integrity, supporting fundraising and engagement efforts for the Development team. (10%)
Collaborate with faculty and staff at the Mandel School to collect and organize information needed for foundation reporting, donor updates, and stewardship activities. Develop tailored proposals that align donor interests with school programs to enhance engagement and support. (10%)

- Support the Dean¿s priorities by coordinating scheduling and logistics in collaboration with the Dean¿s Executive Aide. (5%)

CONTACTS
Department/School: Frequent daily contact with the Mandel School Dean, Associate and Vice Deans, department chairs, faculty, and staff to facilitate donor relations, share critical information, and execute event logistics, meetings, and stewardship strategies.
University: Frequent daily contact with the Dean's office, Associate Deans, directors of administrative departments, faculty, and staff as required to coordinate development initiatives, secure approvals, provide updates on annual giving strategies, and ensure alignment across university units.
