Job Summary

The Service Office Manager is responsible for managing a team of up to 2 people, navigating day to day activities including mailroom, shipping and receiving, hospitality, facilities monitoring, supply inventory, and general administrative support.

Responsibilities:

  • Serves as the main point of contact for all activities related to the mail room and office services

  • Lead by example, delegate, and build strong relationships with associates and clients

  • Responds to requests in a timely manner and extends outstanding customer service and a positive attitude to all internal/external customers and clients

  • Demonstrate proactive thinking and planning for both client and EverSource operations

  • Serve as client’s main point of contact, host regular client meetings, and review metrics data related to essential job functions

  • Prove flexible when faced with deadlines and challenges

  • Manage and provide direction to on-site team in all aspects of mailroom and office services

  • Oversees creation of shipments, receiving, sorting, scanning and delivery of all classes of US mail and accountable packages from various carriers such as FedEx, UPS, Amazon, etc.

  • Collect and maintain records of metrics related to volumes and time and motion studies

  • Produce client invoicing and maintain records related to supplemental billing in a timely and accurate manner

  • Brew, monitor, stock and maintain cleanliness of all convenience areas such as pantries, coffee stations, kitchens, and communal areas

  • Oversee physical appearance of all serviceable areas of the site including: conference rooms, lobbies, convenience copy stations, office services, supplies, etc.

  • Oversees management of copier fleet by stocking paper, submitting service calls, and troubleshooting as needed

  • Manage inventory of office and pantry supplies and coordinate ordering

  • Submit work orders related to facilities monitoring such as light bulb replacements, temperature requests, and general office upkeep requests

  • Maintain documented procedures for all ESFM processes and responsibilities

  • Gain a full understanding for the utilization of Compass Group systems and applications

  • Adhere to procedures and guidelines to remain compliant with all ESFM and Compass Group standards

  • Responsible for cross-training all on-site associates and participating in on-going training programs

  • Capture and manage employee time and PTO schedule

  • Perform administrative tasks and other duties as needed

Qualifications/Requirements:

  • High school diploma or equivalent (GED); College is a plus

  • Maintain a positive attitude in busy environments

  • Prior supervisory or management experience

  • Proven customer service-related experience

  • Proficiency in MS Office365, and general computer skills- willingness to learn new technologies

  • Follows all established processes and procedures

  • Excellent communication skills both written and oral

  • Ability to lift up to 40 pounds
