Job Overview As one of the oldest medical schools in the country, the UC College of Medicine has a reputation for training best-in-class health care professionals and developing cutting-edge procedures and research that improves the health and clinical care of patients. The College of Medicine is looking for a full-time Executive Staff Assistant. Under general supervision of the Clinical Research Director, this position will provide clerical and administrative support and assistance to the University of Cincinnati Cancer Center Clinical Trials Office. NOTE:This position does not qualify for Visa sponsorship. Essential Functions Calendar management: Scheduling meetings, appointments, study-related sponsor/CRO visits, and other external collaborator visits as needed. Communication management: Answering central phone calls, faxes, directing inquiries, managing central email correspondence, and composing professional emails. Document handling: Filing documents, creating and distributing reports, preparing presentations, and maintaining accurate records. Office administration: Ordering office supplies, managing inventory, coordinating facilities maintenance, and handling basic accounting tasks. Assist with new hire onboarding activities. Meeting coordination: Setting up meeting rooms, preparing agendas, taking minutes, and following up on action items. Reception duties: Greeting visitors, directing them to appropriate personnel, and managing the front desk. Maintain contact lists internal and external to the office as needed. Data entry and reporting: Maintaining spreadsheets, compiling data, and generating reports as needed. Project support: Assisting with project management tasks, including tracking deadlines and coordinating team efforts. Acts as the primary point of contact for monitoring visits - ensuring monitors have access to records, facilities, and remaining available for questions for the duration of a visit. Required Education Bachelor's Degree. Five (5) years of relevant work experience and/or other specialized training can be used in lieu of education requirement. Required Experience One (1) year of relevant work experience Additional Qualifications Considered Excellent communication and interpersonal skills. Strong organizational and time management abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Attention to detail and accuracy. Ability to multitask and prioritize effectively. Discretion and confidentiality when handling sensitive information. Ability to adapt to changing priorities and work independently.
