Talbert House Development Database Administrator - Community Relations in Cincinnati, Ohio

Position Summary:

Deliver outstanding customer service to both internal and external donors, working collaboratively with colleagues and agency staff to support fund development objectives. Leverage project management skills to address department needs, such as maintaining donor database, processing, and recording donations, drafting acknowledgement letters, maintaining department calendar, and handling specific board related responsibilities.

Position Description:

  • Process all incoming gifts ensuring accuracy and integrity, including timely entry of donations, pledges, and other contributions.
  • Maintain and update donor information:  managing and upkeeping donor database ensuring accurate, complete, and up to date donor information.
  • Write, prepare, and refresh acknowledgement letters for appropriate signature(s), ensuring timely and consistent communication with donors to foster strong, long-lasting relationships.
  • Generate donor reports, analytics, and data extractions as needed for fundraising and development strategy.
  • Track departmental finances, including use of Purchase Card and expense report submittals. Perform monthly reconciliation with finance department to ensure consistency and accuracy of financial data.
  • Plan and manage select aspects of various convening Board and Committee meetings, including meeting invitations, tracking RSVPs, preparing meeting agendas and corresponding materials, ordering catering, recording meeting minutes, and ensuring proper follow-up on action items.
  • Maintain the development calendar, tracking deadlines for donor outreach, board meetings, and related activities.
  • Other duties as assigned. .
Qualifications

Required Knowledge, Skills, and Abilities:

  • Demonstrated project management skills including ability to adapt to change.
  • Strong written and oral communication skills; commitment to accuracy and attention to detail.
  • Knowledge of and adherence to fund development ethics.
  • Ability to properly sequence activities for outstanding results.
  • Must be able to work well independently and collaboratively as part of a team.

Job Requirements:

  • Bachelor's degree and/or four years of experience in an administrative role.
  • Impeccable accuracy and strong organizational proficiency.
  • Prior experience working with Donor Perfect or other customer relationship management software system, preferred.

  • Positional: Driving in accordance with job duties as defined by position. Occasional standing and walking. Frequent sitting.
