Jacobs Transportation Portfolio Coordinator in Chicago, Illinois
Our Midwest Transportation Market team is seeking an experienced Transportation Portfolio Coordinator to support Project Managers and delivery teams in execution of quality delivery of our various projects and programs. The role will also support our client account teams in growth strategies and procurement activities in the greater metropolitan area in alignment with business goals.
The ideal candidate would be based in the Chicago office and provide the following:
• Support Project Managers with scope/schedule/budget development, program/project initiation, work plans, quality plans, and developing monthly reports, and other project administration activities
• Technical writing and editing of reports and manuals for project deliverables.
• Communication and stakeholder/public outreach support as applicable to various project scopes
• Lead mentor-protégé programs with minority partners that are part of our contracted obligations on our projects.
• Development of monthly status reports and invoice packages for clients. Support monthly financial project reviews which consist of monthly status of project progress, as well as tracking budget expenditures, and report the results to the project managers.
• Support subcontract process by developing the internal documentation and facilitate obtaining the appropriate internal approvals and communication with subcontractors until each subcontract is complete. Work closely with our Subcontract Management Group to enable as efficient supply chain on our contracts.
• Services During Construction (SDC) Support as applicable to this phase of our projects, including project document control such as logging project correspondence, submittals, RFIs, proposed change orders, contract changes, etc. and routing documents to project team members and stakeholders, and support closeout documentation.
• Development of risk assessment tools for projects and working with project teams on risk mitigation strategies and tracking of results
• Support our account teams with business goal growth strategies including client account plan updates, client meeting preparations, leave behind materials, and additional items as needed.
• Assist with the proposal process for local clients
• Maintain good standing with the client (prequalification, financials, etc.)
• Strong familiarity with the Chicago Transportation market and local portfolio
• Substantial years of experience in the Architecture and Engineering industry, with at least five years of focus on transportation, transit or rail markets and projects.
• Excellent verbal and written communication skills that clearly communicate work instructions, deadlines, priorities, and risks.
• Strong user of Microsoft suite of products (Word, Excel, PowerPoint, Project desired).
• Understanding of local clients’ procurement processes
• Individual should be organized, dependable; self-motivated and able to perform tasks with minimal supervision.
• Ability to travel when needed, approximately 10% required.
