We have an opportunity at our corporate offices in Chicago for a Staff Accountant l (Hybrid) on our Finance team. This is a hybrid position reporting into our Chicago, IL office, requiring 3 days a week in the office.

As a Staff Accountant l (Hybrid), you will be researching and processing membership files related to Federations, Groups, and the Medical Student Outreach Program. This position will use AMA processing standards and best practices to ensure accuracy. The Staff Accountant will also process AMA Membership payments via Direct Cash Receipts, Lockbox, and Web. This role will analyze records, open balances, and conduct monthly reconciliations, as well as refunds and overpayments. Correspond with members and manage data according to AMA policies.

RESPONSIBILITIES:

Federation, Group, and Student Roster Processing

  • Process membership files for all types of membership.

  • Analyze membership files received, format and load rosters, and resolve errors.

  • Assist with collecting, processing, and transmitting of AMA membership dues.

  • Validate invoices and work with accounts receivable on collections.

  • Maintain Membership Accounting inboxes by responding to inquiries and organizing emails.

  • Reconcile any missing or unidentified physician records and create and communicate invoice reports for rosters to groups.

    Cash Receipts, Exception Processing, and Unified Service Center

  • Post membership payments from website renewals, wire transfers, cash transfers, and direct mail.

  • Research, resolve, and post lockbox exceptions and open/in error batches daily.

  • Follow up on correcting product codes, partial pay, overpay errors, and other system/vendor errors.

  • Manage mail correspondence regarding members' accounts, including unidentifiable checks; respond to telephone calls and emails from physicians.

  • Process partial and overpayments, credit card posting.

  • Assist Unified Service Center in researching membership and payment discrepancies.

    Other Accounting Membership Functions

  • Process nonstandard payments, including partial payments, credit card postings, and refunds; run overpayment reports, Gratis Resident Membership, and Financial Hardship requests.

  • Research and post-NSFs, research Membership database, and credit card batch jobs.

    May include other responsibilities as assigned

    REQUIREMENTS:

  • Bachelor's or Associate’s Degree (AA) in Finance or equivalent experience . Accounting/Finance background preferred.

  • Minimum of 2 years’ experience processing payment transactions in a high-volume setting while providing customer service is required; 1-2 years of accounting/bookkeeping experience combined with collections experience preferred.

  • Highly proficient with Microsoft Office suite including Excel, Word, and Access, as well as exposure to financial software packages.

  • Current knowledge of accounting literature and industry or public accounting experience

  • Strong planning and organizing skills required, must meet commitments and deadlines.

  • Demonstrated ability to troubleshoot issues and learn new software applications.

  • Excellent communication skills and the ability to work effectively with all levels of staff and management.

  • Self-motivated individual with the ability to deal effectively with numerous activities simultaneously.

  • Excellent communication skills and comfortable interacting with all levels of staff and management.

  • Ability to work independently and with a team with an emphasis on accuracy and timeliness.
