Number of Positions: One (1) - (Additional vacancies possible pending budget approval)

This position is open to the public and all current city employees covered under the City’s Collective Bargaining Agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) – BARGAINING UNIT 1, 3, 4 & 5. Only employees in City job titles in this bargaining unit are eligible to bid.

The Chicago Department of Aviation (CDA) owns and operates one of the world's busiest airport systems, comprised of O'Hare and Midway International Airports. Together, Chicago's airports offer service to more than 260 nonstop destinations worldwide, serving more than 105 million passengers each year, and generating more than $60 billion in annual economic activity for the region. The footprints of both airports continue to expand as major capital development programs are underway. These programs, known as O'Hare 21 and the Midway Modernization Program, are designed to increase capacity and connectivity of Chicago's airports over the next decade and throughout the 21st century. ESSENTIAL DUTIES:

Marketing Communications Support :

  • Assist in marketing efforts to raise awareness about air service (e.g. airlines and new destinations), airport amenities (e.g. public art, entertainment, concessions restaurants and shops), and major construction projects.

  • Coordinate tasks for marketing communications projects to develop print and digital materials such as newsletters, advertisements, videos, brochures, signage, articles, fact sheets, and press releases.

  • Draft and review content for the website and social media including Facebook, Instagram and LinkedIn.

Event Coordination :

  • Support event coordinators with over 100 events annually including airline gate celebrations, passenger appreciation giveaways, entertainment performances, ribbon cuttings, groundbreakings and press conferences.

  • Coordinate planning calls including scheduling meetings and site visits, and creating agendas, task lists and notes for events.

  • Manage related tasks for special events (e.g. drafting invitations, sending notifications, organizing guest lists, photo/video scheduling).

  • Coordinate with external vendors and internal department teams on work order requests for event logistics (e.g. security staff, stanchions, signage, tables, tablecloths, chairs, sound, podium, promotional items and other event supplies).

  • Escort guests and help with staffing on-site (e.g. greeter, check in, wayfinding).

Project Management :

  • Support customer engagement programs and promotions such as public art and rotating art exhibitions, entertainment performances, seasonal displays and holiday decorations.

  • Help maintain digital libraries for photos and videos using digital asset management system to organize, file and archive.

  • Coordinate and staff photography and film shoots, including scheduling, requesting security permissions, and collecting waivers.

  • Oversee inventories including photo and video library, public art exhibitions, seasonal and holiday decoration, and promotional items.

Administrative Tasks :

  • Organize meeting agendas, recaps, and follow-up tasks.

  • Create reports, spreadsheets, fact sheets, and presentations using Word, Excel, and PowerPoint.

  • Assist in tracking budgets, price quotes, invoices, contracts, applications and vendor forms.

Additional duties may be required for this position.

Shift: M onday – Friday

Hours: 9:00 AM – 5:00 PM

THIS POSITION IS IN THE CAREER SERVICE

Qualifications:

MINIMUM QUALIFICATIONS: Graduation from an accredited college or university with a Bachelor’s degree in public or Business Administration, Social Sciences, Planning or a related field, supplemented by three years of progressively responsible experience in program administration, or an equivalent combination of training and experience is required.

NOTE: Must be flexible to early and/or late meetings and occasional weekends.

NOTE: Must be flexible to travel to Midway Airport and offsite locations, based on operational needs.

NOTE: This position requires a valid license at the time of hire.

NOTE: The candidates selected for hire must pass an airport background check and a Security Threat Assessment.

SELECTION REQUIREMENTS: This position requires applicants to complete an interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position will be selected.

Preference will be given to candidates possessing the following:

  • Previous work experience in marketing, public relations or communications.

  • Previous work experience in event coordination.

  • Experience using Microsoft Office.
