Summary:

Under the direction of the Research Administrator and as part of the Administrative team, the Grants Specialist 1 provides departmental grant program support and maintenance and independently handles a variety of established office management functions. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.

Required Job Qualifications:

• Bachelor's Degree.

• Excellent working knowledge of Microsoft Word and Excel; basic knowledge of databases.

• Demonstrated organizational skills; excellent demonstrated attention to detail.

• Ability to work within strict deadlines, under pressure, and ability to prioritize

• Excellent verbal and written skills.

• Able to make independent judgments; must be self-motivated; must be able to use time and resources effectively; must be able to make and implement plans.

• Ability to interact with a wide variety of people.

• Understand the need for and maintain confidentiality in all matters.

Preferred Job Qualifications:

• Three year’ of administrative experience.

• Experience in a research oriented setting.

• Experience in research administration.

• Thorough knowledge of RUMC and NIH research funding guidelines, federal regulations and procedures.

• Experience with NIH Commons procedures.

• Knowledge of RUMC personnel and payroll policies and cost accounting procedures.

Responsibilities:

  1. Assist in pre-award document preparation for application packets, which includes fostering collaborative relationships with co-investigators and oversight and maintenance of departmental database of frequently used grant documents.

  2. Manage all aspects of sub-award grant submissions, including budgeting, preparation of application in the Rush Research Portal, and coordinating the efforts of grant partners in completing necessary tasks.

  3. Responsible for researching data for the preparation of accurate pre-award budgets and ensuring budgets are processed in a timely manner through appropriate institutional channels for review and authorization

  4. Perform targeted funding searches (focusing on NIH initiatives), disseminate extramural funding opportunities, and communicate with potential funding sources.

  5. Manages routine grant maintenance activities (progress reports, NIH public access compliance, queries from program officers and other NIH personnel).

  6. Ensuring that research funds are not overspent and allowable and appropriate expenses are charged to funds, manages expense process from pre-submission to reconciliation of expenses against financial reports, such as fund reports, GLs, Payroll reports, etc.. Responsible for compliance to RUMC and RADC policy as well as policies of individual funding agencies.

  7. Track educational activity expenses; analyze individual projects to determine cost-savings and advise on policies and procedures that enhance efficiency and effectiveness.

  8. Make independent decisions concerning departmental operations in absence of Research Administrator and Department Manager.

  9. Oversee document database maintenance, providing direct feedback to staff responsible for data entry.
