Hyatt seeks a highly organized, proactive, and detailed-oriented Executive Assistant to support three Senior Vice Presidents in Finance at its global headquarters in Chicago, IL. This role works closely with senior leaders at Hyatt and their admins, requiring discretion, collaboration, and a high degree of professionalism. The Role

In this role, you will be collaborating closely with the broader Treasury & Corporate Finance, Internal Audit, and Procurement teams. As part of a team of three Executive Admins supporting Hyatt’s overall Finance function, you will be making an impact, and instilling confidence and trust, by providing strong administrative support to Senior Leaders of the global Finance team.

Calendar Management: Managing complex calendars, including scheduling meetings, appointments, and events, involving the SVPs, and ensuring all details (attendees, location, visitors) are taken care of. Greet visitors when they arrive.

Travel Arrangements : Coordinate travel arrangements such as flights, hotels, and other logistics for 3 SVPs and other leaders as needed.

Expense Management: File expense reports for 3 SVPs and other VPs in the departments monthly, and process invoices on a weekly/monthly/as-needed, adhering to payment deadlines.

Document Handling and Preparation:

•Draft, proofread, and prepare documents as needed for meetings.

•Coordinate with other Admins and departments to arrange for signatures professionally and courteously.

•Retrieve and distribute departmental mail to appropriate colleagues, and handle outgoing documents (i.e. FedEx, apostille for international processes).

•Download all bank statements monthly

•Deposit checks via remote deposit or via Lockbox weekly

•Complete required financial documents as needed (i.e. annual FBAR data entry)

•Develops, maintains, and manages accurate and organized manual or computerized filing systems; searches, locates, retrieves, and/or tracks files to provide requested information; and creates new files and filing systems when needed.

Event/Meeting Planning: Coordinate board meetings, senior-level engagements, and assist in organizing and planning internal & external events (i.e. maintain a budget for certain events)

Others: Provide overall support to the departments, such as maintaining supply rooms for the Finance team & ordering supplies as needed, greeting visitors, coordinating with building services, oversight of Procurement Brand Storeroom & supplier sample deliveries, etc.

•This role is required to be in the office 3-4 days a week

Qualifications:

Experience Required:

•5 years of experience as an Executive Assistant experience.

•Ability to exercise excellent judgment and discretion in dealing with confidential material or handling highly sensitive information. A high degree of integrity, professionalism, and diplomacy is required.

•Professional interpersonal and communication skills, both written & verbal.

•Flexibility, and ability to work independently and as part of a team.

•Pro-active problem solver and independent thinker; ability to follow up as often as necessary.

•Strong proficiency in MS Word, Excel, PowerPoint, and Outlook is required.

Experience Preferred:

•Currently an Illinois Notary

The salary range for this position is $58,000 to $75,000. The final pay rate/salary offered to the successful candidate will depend on experience, skill level and other qualifications for the role, as well as the location of the performance of work. Pay for the successful candidate will meet local requirements, including the local minimum wage rate.
