Summary:

Under the direction of the Director of Records and Registration, this position acts as departmental manager overseeing the daily operations of the Office of the Registrar. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.

Responsibilities:

  • Manages the routine operations at the Office of the Registrar including, but not limited to: quarterly preparation of course timetables, registration processing; production of official academic transcripts, verification of licensure and other certifications, distribution of: class rosters, final grades, changes in grade or registration and classroom facilities.

  • Reviews all matriculating students' files to ensure all documents required for compliance have been submitted: Final transcripts from previously attended colleges/universities; Supplemental Student Data form (or its equivalent) from each student to determine state residency, demographic information in the student information system can be double-checked to ensure Rush University's compliance with required state and federal reports.

  • Oversees processing of various Office of the Registrar forms including but not limited to: Request for transfer of credit, Intent to Graduate, Degree Approval.

  • In concert with Director of Records and Registration, creates, analyzes and implements policy related to students and business processes.

  • Manages the document imaging project, including: the preparation of grade rosters and student files for document imaging; reviewing each student file to determine which documents can be purged and which must be permanently maintained; viewing and correcting each student's Rush transcript as needed based upon this review, placing documents to be imaged in chronological order; and, once the documents have been imaged, conducting quality assurance that all documents have been correctly imaged.

  • Oversees the integrity of the University Information System database (pertaining to students).

  • Serves as the team lead for the Degree Audit function in the University Information system; communicates continually with students' advisors to insure student progress toward meeting degree requirements; in conjunction with college deans and academic program directors, conducts degree audits for all students.

  • Prepares original content and edits standing information for Registrar's Office web pages on the Rush Univ. web site, including the preparation of the Rush University Catalog.

  • Assists with the management of the annual commencement ceremony arrangements including ordering diplomas for all graduating students, compiling degree recipients, including past degrees attained, for the commencement program and other commencement-related publications, tracking student participation in the graduation ceremony. Prepares diplomas and compiles degree recipient information for fall, winter and summer graduations.

  • Serves as Office of the Registrar's liaison for the College of Nursing's progressions committee by preparing all data to be reviewed at the meeting to ensure that students are academically progressing. Communicates with other departments/colleges on a quarterly basis to apprise them of the academic standing of their students.

  • In consultation with Registrar, is responsible for recruiting, hiring and training of new hires in the Office of the Registrar. Also provides input for disciplinary and termination decisions.

  • Supervises 3 full-time; contributes to annual reviews for staff supervised.

  • Participates on university-wide committees where appropriate to enhance service initiatives from the Registrar's office.

  • Participates in professional development activities, e.g., attending national/local conferences, workshops, seminars.

Required Job Qualifications:

• Bachelor's degree.

• Three years' experience in a higher education setting.

• Possesses an understanding of the inner workings of administering higher education degree programs.

• Web page design skills (e.g., html coding) to create maintain web pages/site.

• Ability to interact comfortably and appropriately with university deans and administrators.

• Customer-service orientation and philosophy to support and interpret student inquiries and needs.

• Team-oriented individual necessary to provide support in a seasonally busy, small-staffed office.

• Discretion is vital as most information and data handled is of confidential nature.

• Previous supervisory experience highly preferred.

• Ability to work on multiple projects simultaneously.

• Comfortable with not completing tasks in a linear fashion.

• Excellent interpersonal skills, including the ability to defuse confrontational situations.

Preferred Job Qualifications:

• Master’s degree.

• Three years’ experience in a higher education setting with area of student services.
