Summary
Performs diversified administrative activities to support the assigned service line. Partners with leadership to monitor and support appropriate staffing for optimal organizational efficiency.
Essential Duties and Responsibilities
The duties and responsibilities described below represent the general tasks performed daily; task may be assigned according to service line
Responsible for administrative functions of assigned departments/service lines, including correspondence, reports, and minutes preparation
Maintain inventory of administrative supplies and partner with supporting departments to order/requisition based on departmental need
Participate in daily organizational throughput meeting and schedule resources accordingly
Provide daily staffing report to Clinical Nurse Supervisor
Coordinate weekly staffing plan for optimal organizational efficiency
Partner with departments to resolve scheduling discrepancies; escalate scheduling concerns to the Manager of the affected unit(s)
Utilizes workforce forecasting models and tools to identify future staffing requirements
Provide dashboard report of identified challenges/opportunities, and resource/tools monthly and as requested
Perform activities required for the maintenance of time/attendance records
Serves as Administrator for platforms that support policy management
Assist new hires with use of the time clock and familiarization with payroll practices
Schedules times and location of requested meetings
Work under general supervision with latitude for independent judgment
Maintains competency on new technology to enhance productivity
Consults with senior/collaborating peers on projects as needed
Attend required hospital-wide orientations, meetings, and educational events
Demonstrate a commitment to flexible work scheduling when necessary to ensure organizational efficiency
Education and Experience
Minimum Required Education: High School diploma or equivalent, command of MicroSoft Word applications, intermediate working knowledge of computer and correspondence skills
Preferred Education: Nursing Assistant, Home Aide or equivalent
Preferred Experience: 1-year previous Administrative Coordinator/Assistance experience
Certificates, Licenses, Registrations
BLS; must be current and obtained within 90 days of hire. Must complete Hand with Care class or approved equivalent within 90 days.
