Job Description

We are seeking a motivated individual for a dynamic role within our company. This position will involve gathering training and company documents to create comprehensive manuals. The successful candidate will work independently to scan drawings and equipment manuals, and assist with daily office operations.

Responsibilities

  • Assist with daily office operations, including answering phones, responding to emails, and managing correspondence.

  • Perform data entry and maintain accurate records and files.

  • Schedule and coordinate meetings, appointments, and travel arrangements.

  • Coordinate training sessions and prepare training presentations.

  • Maintain and organize office supplies, ensuring inventory is stocked and ordering new supplies as needed.

  • Assist with organizing and maintaining office space to ensure a clean and efficient work environment.

  • Provide excellent customer service to clients and stakeholders, addressing inquiries and resolving issues promptly.

  • Process and manage incoming and outgoing mail and packages.

  • Prepare, review, and proofread documents and reports.

  • Ensure confidential information is handled with discretion and in accordance with company policies.

  • Collaborate with team members and assist with various administrative tasks and special projects as needed.

  • Support staff and managers with ad-hoc tasks and duties.

  • Coordinate the storage of training records.

Essential Skills

  • Basic knowledge of office software, including Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).

  • Strong organizational and multitasking skills.

  • Excellent verbal and written communication skills.

  • Ability to work independently and as part of a team.

  • Attention to detail and a high level of accuracy in work.

  • Professional demeanor and positive attitude.

Work Environment

This role is primarily based in an office setting but will require walking around to locate documents. The workweek is typically Monday through Friday, from 7 AM to 3 PM, with occasional overtime as needed. The environment is a heavy industrial manufacturing setting, which is non-climate controlled. There may be occasional lifting of office supplies or equipment up to 25 lbs. The site is currently undergoing efforts to get it back up and running efficiently.
