Job Title: Project Documentation AdministratorJob Description
The Project Documentation Administrator will be responsible for coordinating and managing the documentation related to project design, project management, engineering, fabrication, and quality control. Additionally, this role involves coordinating meetings and communication with customers regarding project status.
Responsibilities
Schedule and coordinate in-person and virtual meetings with customers to comply with internal requirements and customer specifications.
Set up new orders and projects in Smartsheet.
Communicate with customers by sending order acknowledgements, preliminary schedules, approval drawings, revised drawings, and release for fabrication drawings.
Follow up with team members for required documentation and due dates, and submit documents to customers via email or portal.
Update or create new procedures when applicable.
Create and develop change orders, submit them, and communicate changes to customers.
Update Smartsheet invoices with appropriate contacts for surveys.
Enter major data points on Smartsheet invoices.
Update Project Management Job Processing with jobs to shop hours.
Update schedules with internal input and communicate to customers using Smartsheet scheduler.
Support Quality Control documentation.
Document customer orders, order acknowledgements, drawings, and customer meetings.
Essential Skills
5+ years’ experience in a manufacturing engineering environment, with fabrication experience preferred.
Mechanical aptitude necessary to comprehend information and communicate with stakeholders.
Proficiency in MS Word, Excel, and Teams. Experience with Smartsheet or MS Project preferred.
Knowledge and experience in document control and process/procedure development and maintenance.
Familiarity with ISO9001, APQP, or similar quality standards.
Additional Skills & Qualifications
Project Management Certificate preferred.
Ability and willingness to travel as necessary, with travel being minimal (less than 5%).
Work Environment
This role involves working with various software tools including MS Word, Excel, Teams, Smartsheet, and MS Project. The work environment is collaborative, requiring frequent communication with both internal and external stakeholders. Minimal travel is required.
Pay and Benefits
The pay range for this position is $24.00 - $29.00/hr.
