Summary The secretary for pharmacy service is an integral member of the administrative team and reports directly to the Administrative Officer. The pharmacy service is comprised of an inpatient and outpatient pharmacy, as well as clinical pharmacy services that support inpatient, outpatient, and the Community Based Outpatient Clinics (CBOCs). Pharmacy service is directly involved with patient care responsibilities but also plays a role in education and research. Responsibilities Responsibilities include, but are not limited to: The secretary is responsible for performing duties in a variety of functional specializations to provide information and management assistance in planning, controlling and/or reporting on resource, education, program accomplishment and program administration. The employee independently compiles, consolidates, coordinates, and organizes a wide variety of data utilizing personal computers and state-of-the-art electronic data processing skills to support management decision making. Establishes and maintains control logs, prepares data in prescribed formats, and prepares necessary forms and working files essential to pharmacy operations. Assignments require a practical knowledge of the Pharmacy service Line, and established guidelines relating to the budget, supply, education, and statistical reporting and records systems. Administration Management: Performs a variety of administrative duties designed to assist administrative management for pharmacy operations and the efficient accomplishment of the objectives. Establishes and maintains a variety of automated and manual records systems reflecting technical and administrative data. Personnel Management: The secretary will work with a variety of employees and must be able to make decisions related to time management, priorities of work to be accomplished, and methods of accomplishment. The secretary serves as the primary timekeeper and must be sensitive to interpersonal relationships among the pharmacy sections and be a good communicator, able to relay accurate and timely information. Customer Service: Secretary performs general office support functions: Receives calls and visitors, referring only those contacts needing their attention or action. Receives incoming mail, assists with outgoing mail, records suspense items, collects background data and routes to appropriate contact. Secretary prepares reports from rough notes or scheduling comments. Data Automation: The Secretary operates automated equipment including word processing and personal computers. Secretary creates copies, edits, calculates, revises, retrieves, stores and prints a wide range of documents in final form. Prepares graphs, statistical reports and other correspondence using various software, including word processing, electronic mail, spreadsheets, database and graphics programs. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/23/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. Candidates may be advanced without time restriction to positions up to GS-5 if the position to be filled is no more than two grades above the lowest grade the employee held within the preceding 52 weeks under his or her latest non-temporary competitive appointment. Office Automation (OA) Selective Factor: Applicants for this position must show possession of the following skill: Ability to type 40 words per minute. This position requires Office Automation (OA). Candidates must have the ability to type a minimum of 40 words per minute. Applicants may meet this requirement by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates, by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS 4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: receiving visitors and telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; preparing travel arrangements; and maintaining files. OR; Education: To substitute education for specialized experience, you must have successfully completed 4 years of education above the high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university for which high school graduation or the equivalent is the normal prerequisite. One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school. (TRANSCRIPT REQUIRED), OR; Combination of Education and Specialized Experience: To qualify with a combination of education and specialized experience, you must possess equivalent combinations of successfully completed post-high school education and experience to meet total qualification requirements at the GS-5 level? Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement.
