Job Overview & Responsibilities
An Executive Administrative Assistant is responsible for providing executive administrative support to the Chief Operating Officer and Vice President of Human Resources. This position is co-located with the executive management team and will routinely interact with senior level executives, external customers and suppliers. We are seeking service-oriented candidates for the role who possess initiative and discretion for every task.
Essential Duties and Responsibilities: Maintain schedules to include maximizing executives' time and calendars by anticipating and reconciling schedule conflicts Provide administrative support as directed, including screening telephone calls and route internal and external calls to the appropriate person and/or department Make travel arrangements to include flights, car rental, and hotel for domestic and international travel Prepare and reconcile expense reports Coordinate on and offsite meetings, including meeting notices, meeting rooms, visitor forms / badging, required catering, and parking spaces, etc. Prepare Federal Express packages, faxing, scanning, and sorting mail. Provide support to the HR Staffing Team to include new employee orientation and document processing in ULAhub for new hires Manage personnel files and record retention needs Assist with special projects as needed Excellent knowledge of Microsoft Office to include: Outlook, PowerPoint, and Microsoft Word
Required Education High School/GED
Required Years of Experience Minimum of 6 years of related work experience
Basic Qualifications
Previous experience setting up and preparing Teams/video conferencing for meetings is preferred Proven ability in a role that requires strong organization skills Strong ability to maintain customer and corporate confidentiality Must have positive attitude and work effectively in a team environment Proficient in Microsoft Word, Excel, and PowerPoint Strong written, verbal, and interpersonal communication skills Experience managing multiple priorities, prioritizing, and meeting deadlines

Experience working in Aerospace Industry Experience supporting C-Suite Executives Experience with hiring/onboarding processes Summary Salary Range (forULA - Denveronly): $66,131.00 - $103,250.00
