Document Coordinator - Cedar Rapids, IA

Summary:

This position will oversee documentation control based on record retention requirements per ADM policy as well as assist with managing the policy management system for the ADM Cedar Rapids Processing Complex. This position will also provide high-level administrative support to the Plant Manager and other Plant Leaders.

Specific Job Duties

  • Lead, coordinates, and provides oversight of the plant document control system for all controlled documents for the Cedar Rapids Complex.

  • Responsible for maintaining the document control system (PolicyTech) and managing changes within the system as the site administrator.

  • Manages the document warehouse to meet records retention policy expectations. Gains internal certification as the Site Records Coordinator.

  • Performs a variety of clerical, technical and administrative duties in support of the records management programs.

  • Writes, proofreads, and edits documents; prepares a variety of reports, letters, memoranda and informational material, performs data entry, scans and files documents and records as needed

  • Protects the integrity, authenticity and confidentiality of records in accordance with established procedures

  • Will create purchase requests and material requests for items such as, document destruction, safety equipment, and office supplies, as needed.

  • Will assist the Plant Manager with maintaining schedules, assisting with meeting preparations, including taking notes and recording minutes.

  • Other office clerical duties as assigned.

Required Skills/Abilities:

  • Extensive Knowledge of record keeping systems, office administration, and clerical procedures

  • Proficient in Microsoft Office (specifically PowerPoint, Word, Excel, Outlook)

  • Strong organizational skills and attention to detail

  • Proven experience in multi-tasking and managing priorities to complete tasks within set deadlines

  • Excellent verbal and written Communication skills

  • Ability to build relationships and work with multiple work groups in a high-paced, and sometimes stressful environment

  • Proficient in Microsoft Office (specifically PowerPoint, Word, Excel, Outlook)

  • Must be capable of working in both an office and plant setting with an ability to stand and sit for extended periods of time, walk long distances, climb stairs/ladders, and tolerate hot/cold temperatures

Experience Preferred:

  • 1-3 years of experience in record management, document control, human resources, or similar experience required

  • Knowledge of environmental, safety, and/or quality preferred

  • Usage of document control and formatting software’s such as PolicyTech, and FSPro
