ESSENTIAL JOB DUTIES: The Administrative Assistant provides skilled clerical and complex administrative support to the Airport Management Team. The role involves assisting with a range of office and administrative tasks, requiring a high level of proficiency in business software, including but not limited to Microsoft Outlook, Word, Excel, and PowerPoint. The position is primarily sedentary, with occasional physical demands, and is performed under general supervision. Key Responsibilities Administrative Support: Provides office automation and clerical support for the Airport Director, Airport Authority Board of Directors, and the Airport Management Team. Customer and Call Management: Answers and screens calls, directs inquiries to the appropriate personnel, and ensures efficient communication with customers and stakeholders. Correspondence and Documentation: Prepares and distributes responses to inquiries, transcribes meeting minutes, and handles other correspondence, memos, and reports as requested. Human Resources: Manages HR tasks, including recruitment (posting vacancies, scheduling interviews), coordinating new hire orientation, processing payroll, and maintaining employee records. Meeting and Event Support: Plans and coordinates meetings, including the preparation of agendas, materials, and minutes. Assists with organizing catering and marketing for airport events and meetings. Grant and Project Administration: Assists with administrative tasks related to airport grants and local projects. Purchasing and Supplies: Oversees the purchase of office supplies and equipment as necessary to support administrative functions. Special Projects: Undertakes special projects and tasks as assigned by the Airport Director.
KNOWLEDGE AND SKILL REQUIREMENTS: Strong understanding of office procedures, equipment, and secretarial techniques. Proficient in business English, arithmetic, and organizational skills. Familiar with airport operations, administrative policies, and practices. Ability to manage and organize records, prepare accurate reports, and work independently. Competent in transcription, report preparation, and correspondence drafting. Knowledge of human resource processes and the ability to handle sensitive personnel matters. Ability to build and maintain effective working relationships with colleagues, stakeholders, and the public.
EDUCATION AND EXPERIENCE REQUIREMENTS: Minimum high school diploma or equivalent. Associates degree in business management, or office management preferred. Or any equivalent combination of education and experience that satisfies these requirements. Extensive experience in an executive office environment.
LICENSE AND SPECIAL REQUIREMENTS: Must be able to become a Notary Public for North Carolina if not already certified
