Role Description
Utilita Arena Cardiff hosts international tours and concerts with global artists as well as large-scale conference events. The Event Manager is responsible for all the logistical arrangements of an event once it has been contracted by the venue. They are required to maintain clear communication channels between the relevant departments and the client to ensure the thorough planning and safe, smooth running of the event.
The post will assume overall responsibility for the technical delivery of allocated main arena events, utilising a good overall knowledge of technical aspects of arena scale shows, along with excellent communication skills to disseminate requirements to direct reports (venue technicians) and aiding in contributing to budgetary targets.
The Event Manager will also form part of the duty management team and is responsible for ensuring that all events comply with company health and safety policies, and for the implementation of an evacuation of the venue if required

Essential
Understanding of technical operations of arena scale shows, able to interpret complex rigging plots and understand their implications with regards to venue sales plans
An understanding of power and electrics in an events venue
Understanding of AV requirements for conference events, and the ability to engage confidently with external suppliers to deliver clients' AV needs
Working knowledge of venue related health and safety legislation
Initiative and adaptability – problem solving skill and initiative
Attention to detail and the ability to work to a tight timescale
Excellent organisational skills
Excellent communication and influencing skills
Good numeracy and IT Skills, including the use of Word, Excel and AUTO CAD programmes
Desirable
Previous Experience of working with the general public
A genuine interest in conferencing and live entertainment, with previous experience of working in a pressurised event environment

What the role includes
Liaise with concert promoters and conference organisers in the planning and management of all aspects of their event
To liaise with local authorities and the emergency services regarding unique aspects of events
To form an internal document, outlining client requirements, for distribution within the venue and to selected external agencies
To be responsible for ensuring the completion of a pre-event check, identifying and removing any security or health and safety issues prior to the arrival of patrons
To act as Duty Manager on event days and to find solutions to any problems that may arise in an efficient and effective manner
As far as is reasonably practicable, supervise the work and conduct of personnel employed or contracted by the promoters whilst working at the arena. Ensure that safe working practises are adhered to and that the safety of those working in and using the arena is not compromised.
To undertake Front of House duties where necessary and to deal with problem situations in a professional and courteous manner
To produce post-event reports outlining any problems and the means of resolution
To share information with other Venues by producing Post-event NAA Reports for distribution within the National Arenas Association
To be responsible for post-event invoicing
To understand and implement the Venue Emergency Evacuation Procedures if necessary
Assist in the recruitment and cost-effective scheduling of casual technical staff
In conjunction with the senior event manager, supervise the activities of the full-time venue technician
Supervision of the activities of casual technical staff, ensuring that, during events, the technical aspects of the venue are delivered in a smooth and comprehensive manor
Liaising with technical stake holders (UK rigging, engagement of AV Companies when client requirements are beyond in house resource capabilities) to ensure the arena fulfils its H&S obligations and provides a good level of service to incoming tours/conferences, whilst where possible, maintaining set margins for the recharge of services
Booking/ ordering of resources (security, additional plant, window drapes, black masking, steel deck etc.) to fulfil tour rider requests, and, in conjunction with the senior event manager and venue technician, looking strategically at hire periods to maximise recharge margins and fulfil budget targets set by general manager
To maintain clear communication with the Box Office Manager with regards to show layouts and production requirements, producing seating plans for each event using CAD software
To liaise with the Licensing Authorities, the Fire Service, Buildings and Environmental Health regarding any unique aspects of a particular event
In conjunction with the senior event manager, complete risk assessments for all events and Technical related activities as and when required
To ensure that all company policies are adhered to
Assisting and supporting the Sales and Marketing Manager regarding initial sales enquiries if required
To remain involved and engaged with the entertainment industry as a whole and to keep up to speed with developments or initiatives that could potentially improve the services offered at the arena
