Description

We are offering an opportunity for a Front Desk Coordinator in Camden, New Jersey. This position is within a non-profit organization where you will primarily be responsible for handling front desk duties, providing excellent customer service, and offering administrative support. This role is contract-based.

Responsibilities:

• Serving as the initial point of contact for visitors, offering assistance, and directing them to the appropriate department or individual.

• Responding to all incoming calls in a prompt manner, providing information to callers, and directing calls to the appropriate department or individual.

• Ensuring the reception area is well-organized and presentable to create a positive impression of the organization.

• Keeping detailed records of visitors, including their purpose of visit and their arrival and departure times.

• Coordinating and scheduling appointments for the management team or other staff members as necessary.

• Handling incoming mail distribution and organizing outgoing mail.

• Using the organization's database to update records, input new information, and ensure data accuracy.

• Providing basic administrative support to staff members, such as typing documents, making copies, and faxing documents.

• Maintaining an adequate inventory of office supplies and notifying management when supplies are low.

• Assisting in planning and executing organizational events, meetings, and workshops, including venue preparation, sending out invitations, and managing RSVPs.

• Handling sensitive or confidential information with discretion, ensuring it is kept secure and shared only with the appropriate individuals.

Requirements

• Proven experience in Administrative Assistance

• Proficient in answering inbound calls

• Ability to provide clerical support efficiently

• Experience with receptionist duties, including handling incoming visitors and managing correspondence

• Excellent communication and interpersonal skills

• Strong multitasking ability with a keen eye for detail

• Ability to work under pressure and prioritize tasks

• Strong organizational and time management skills

• Proficiency in Microsoft Office applications

• High school diploma; additional qualification in Office Administration is a plus.
