ADMINISTRATIVE ASSISTANT 1, EDUCATIONAL OPPORTUNITY PROGRAMS (OEOP), Office of the Provost, to provide overall support to all programs of the OEOP (including the Upward Bound Program), help facilitate the smooth implementation of the department’s/programs’ many projects; and help manage the day-to-day functions of the office. Will attend meetings with the director and other department staff; maintain regular contact with host institutions, target community schools, and community organizations; assist in the provision of academic assistance to program participants; and perform other tasks as necessary to assist the director and support the department’s/programs’ missions. Responsibilities include performing clerical/receptionist and some student support duties; preparing and proofreading program reports and correspondences; receiving and distributing mail; answering basic telephone and in-person inquiries, referring as appropriate; preparing and sending mass mailings; maintaining files and records; preparing requisitions, requests for payment, and payroll; operating office equipment and program vehicles; making travel arrangements and completing related expense reports; ordering and maintaining office supplies; and performing other duties as assigned.
Job Requirements
REQUIRED: high school diploma or its equivalent; at least two years of related experience; strong organizational and oral and written communication skills; ability to deal effectively with program clients, parents, and the public; experience with office equipment; proficiency with Microsoft Office, FileMaker Pro, and desktop publishing software; ability to learn new software as needed (i.e., Student Access, Google platforms, etc.); demonstrated understanding of and sensitivity to the concerns/challenges of low income, first-generation, disabled, and under-represented students and their families; and a valid driver’s license.
