Position Overview:

We are seeking a friendly, organized, and professional Receptionist to join our team. The Receptionist will be the first point of contact for our company, providing exceptional customer service to visitors and ensuring smooth operations at the front desk. The ideal candidate will have excellent communication skills, a positive attitude, and the ability to multitask effectively.

Key Responsibilities:

  • Greet and Welcome Visitors: Warmly welcome visitors and clients as they arrive, ensuring they feel comfortable and well-attended.

  • Manage Phone Calls: Answer, screen, and forward incoming phone calls in a polite and professional manner. Take and relay messages accurately.

  • Schedule Appointments and Coordinate Meetings: Maintain the reception area calendar, schedule and confirm appointments, coordinate meeting room bookings, and order lunches for meetings and corporate events, ensuring dietary preferences and restrictions are accommodated.

  • Handle Inquiries: Respond to general inquiries from the public, clients, and employees, providing accurate information or directing them to the appropriate person or department.

  • Administrative Support: Perform various administrative tasks such as filing, photocopying, and data entry. Assist other departments as needed.

  • Mail and Deliveries: Sort and distribute incoming mail and packages. Prepare outgoing mail and handle courier services.

  • Maintain and Manage Office Environment: Ensure the reception area is tidy, organized, and presentable at all times. Track and manage office inventory to ensure supplies are always stocked. Responsible for procuring office and kitchen supplies and managing the budget associated with these items.

  • Security and Access Control: Monitor visitor access and maintain security by following established procedures, issuing visitor badges, and logging visitor information.

  • Customer Service: Provide outstanding customer service to internal and external stakeholders, addressing any issues or concerns promptly and professionally.

  • Event Planning and Organization: Plan and organize events, managing all aspects from venue selection to execution.

  • Coordinate Office Maintenance: Schedule and oversee regular office maintenance and repairs.

Qualifications:Education:

  • High school diploma or equivalent.

  • Additional certification or a degree in Business Administration, Hospitality, or a related field is a plus.

Experience:

  • Previous experience in a receptionist or front desk role is preferred.

  • Experience in general administrative roles is highly desirable.

Skills:

  • Excellent verbal and written communication skills.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).

  • Strong organizational and multitasking abilities.

  • Ability to handle sensitive information with confidentiality.

  • Customer-focused with a friendly and positive attitude.

  • Ability to work independently and as part of a team.
