Your Opportunity
As a Document Controller, you will be responsible for ensuring effective and efficient management of project documentation, from initiation to completion. You will play a key role in tracking, controlling, and providing status reports on deliverables throughout their lifecycles, while ensuring that all documents adhere to Stantec's and client standards. This role also requires you to provide guidance, training, and support in managing our filing systems, ensuring accuracy and quality control at every stage of the document process.
Your Key Responsibilities
Document Lifecycle Management: Track, control, and provide detailed status reports on project deliverables throughout their lifecycle to ensure timely completion.
Document Process Control: Support the tracking and controlling of document initiation, revision, and completion processes, ensuring that documentation is up-to-date and accurate.
Communication Exchange Management: Oversee and control the exchange of communications between Stantec and clients, ensuring proper documentation and accuracy of exchanged materials.
Quality Assurance: Ensure that documents adhere to Stantec's and client standards, particularly regarding workflows, metadata, document/revision numbering, and approval processes.
Training & Support: Provide training, guidance, and support for the use of Stantec’s electronic filing systems, ensuring consistency and compliance with company standards.
Continuous Improvement: Actively participate in continuous improvement initiatives, proposing solutions to improve document control processes and systems.
Promote Safety Culture: Promote a culture of safety within the team and across the project by adhering to safety protocols and guidelines in all documentation practices.
Qualifications
Your Capabilities and Credentials
Strong understanding of document control processes and standards.
Proficiency in document management software (e.g., Aconex, Procore, SharePoint, ACC, ProjectWise).
Excellent organizational and time-management skills.
Strong attention to detail and ability to ensure accuracy in document tracking and reporting.
Excellent communication skills, both verbal and written.
Ability to provide clear guidance and support to team members.
Familiarity with industry-specific document control practices, workflows, and metadata standards.
Knowledge of safety practices and commitment to a safety-first culture.
Education and Experience
- Post-secondary or a minimum of 6 years of experience in document control, with a proven track record in managing project documentation for large-scale projects.

Salary Range(s):
- Lower Mainland $56,600 - Lower Mainland $79,200 Min/Max Pay Range for postings located in BC (Lower Mainland includes Vancouver & Burnaby)
The final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible.
