Job Description

Your Team

Reporting to the Office Manager, the Administrative Assistant will provide support to the Corporate Services group to aid the team with a variety of duties pertaining to the operations of the office organization and administrative tasks. The Administrative Assistant should be comfortable speaking confidently and professionally in an office environment with a willingness to assist the Corporate Services group with tasks and responsibilities to allow for the office to function properly.

Your Key Deliverables

  • Provide support to the Corporate Services team with items such as: daily reception lunch coverage, reception vacation coverage which includes tasks such as answering phones and transferring calls, taking messages, accepting packages, receiving, sorting, and distributing incoming mail, monitoring emails, organizing kitchens, boardrooms, and office storage rooms, cleaning the coffee machine, and coding invoices

  • Provide backup administrative support, which includes calendar management, travel arrangements, expense reports, and records management

  • Learn cheque and EFT processes

  • Process the entry of vendors into accounting systems (Microsoft Dynamics & NewStar)

  • Monitor and order all supplies for the building, external construction job sites, and sales centers

    Must Haves

  • Minimum diploma or certificate in business/office administration

  • 2 - 4 years of experience in an administrative role

  • Intermediate Microsoft Office skills, specifically in Excel, Word, and PowerPoint

  • Excellent communication skills—written, verbal, grammar, and report writing

  • Organized and efficient at scheduling and coordinating

  • Exceptional attention to detail

  • Professional and courteous

  • Goal-oriented

  • Team player

  • Able to work under tight deadlines
