THE ROLE

Insomniac Events is seeking an experienced and enthusiastic Legal Coordinator to support the legal division. This role reports to the VP, Business & Legal Affairs. This is not a remote position and is full time in office.

RESPONSIBILITIES

  • Coordinate and update lists of vendors across all festivals and concerts and provide the legal department with continuing lists of vendor contracts to draft

  • Gather and update lists of performing artists across all festivals, concerts, and clubs

  • Track vendor agreement statuses and follow up with vendors for (i) signed agreements, and (ii) certificates of insurance

  • Review vendor certificates of insurance to ensure that they (i) comply with legal department/agreement requirements, and (ii) that the coverage dates are current for the respective show being contracted

  • Track artist agreement statuses and follow up with agency teams for signed agreements and certificates of insurance that are current for the respective show being contracted.

  • Send out TULIP applications for artists without current coverage and ensure that they apply and pay for coverage before shows

  • Review returned signed agreements and note to the legal department any changes between it and the original agreement sent over

  • Track, review and approve certificates of insurance for talent media teams

  • Track all other relevant agreements, including without limitation co-promotion agreements, sponsorship agreements, non-disclosure agreements and venue agreements, and follow up for and ensure agreement compliance with their corresponding third-party certificates of insurance

  • Organize all returned agreements (including artist performance agreements and their corresponding tax documents) into the legal department's contract storage system

  • Submit completed artist performance agreements and tax documents to club’s accountant for timely payment, as well as submitting late-returned festival and concert artist performance agreements and tax documents to Insomniac accounting for payment

  • Manage the legal department's contract storage system

  • Help train and onboarding various team members when needed

  • Other special projects and tasks as assigned as needed

  • Some travel may be required (economy)

QUALIFICATIONS

  • Bachelor’s degree in a related field

  • 3+ years of experience, preferably in administrative roles

  • Proven ability to work independently while effectively supporting and collaborating with cross-functional teams

  • Strong analytical skills and a solutions-oriented approach to addressing challenges

  • Strong organizational and administrative skills

  • Practical and sound judgment even in ambiguous situations

  • Proficient user of Microsoft suite

  • Must have clean criminal and driving record, valid driver’s license, passport, and car insurance

  • Team player, problem solver, adapter

  • Proficient user in Microsoft Office products

  • Experience with contract management software, such as Ironclad, preferred but not required

WORK ENVIRONMENT

  • Must be able to tolerate loud noise levels & busy environments

  • Must be willing to work in drastic temperature climates when onsite at our events

  • Must be willing to travel to work during evening and weekend hours, as required, to meet deadlines

PAY RATE HOURLY RANGE: $25.00 - $31.00 USD
