Overview:

At Glendale Development LLC, the Administrative Assistant plays a key role as the first point of contact for our organization for those calling or entering our leasing office and in the daily operations of the business providing administrative, customer service, and organizational overflow support for the property management team.

Duties/Responsibilities:

*Greet residents, prospects, and anyone else entering the leasing office. Provide courteous, efficient handling of all prospective and resident phone calls and inquiries. *Perform general administrative duties including data entry, filing, mail, phones, copying, scanning, and other tasks, as needed. *Process incoming and outgoing mail and electronic correspondence. *Assist in preparation of required documents, draft and/or proofread correspondence, always maintaining required confidentiality. *Assist Property Manager in creating and implementing advertisements and marketing materials. *Prepare required paperwork to process and move in prospective residents. *Assist in preparation and delivery of resident leases. *Assist in collection and posting of rent. *Maintain property files according to policy and tax credit requirements. *Take service requests from residents and coordinate work orders with the Maintenance Department. *Maintain the integrity of the community by ensuring confidentiality of resident and company information.

Required Skills/Abilities:

*Outgoing, personable, friendly attitude and ability to make others feel welcome and comfortable. *Excellent verbal and written communication skills. *Detail-oriented and organized. *Ability to work independently and collaboratively as a team effort. *Computer Competency: MS Office, outlook, utilizing property management software & marketing sites. *Valid driver's license, clean driving record, and personal vehicle required. *Ability to think on your feet and problem solve effectively.

Education and Experience:

*Minimum 1+ years administrative office &/or customer service experience required. *Proficient MS Office skills (Word, Excel, Outlook). *Excellent office clerical skills phones, mail, data entry, filing. *High school diploma or GED required
*Experience is apartment leasing &/or NYS Real Estate license preferred.
