Description

SUMMARY OF DUTIES:

Provides high-level, exceptional quality administrative support by conducting research, preparing statistical reports, handling information requests, and performing administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Duties also include board and committee support and liaison work and high-level project-based work, while consistently maintaining a professional image through in-person and phone interaction. Manages any projects needed and generally serves as primary support to the President and CEO and as directed by the President and CEO also supports efforts related to the Board of Directors.

RESPONSIBILITIES:

  • Provide support services for Board Meetings, Orientations and Retreats, Committees and activities as needed, such as preparing agendas, reserving space, set up and clean up for Committee, Board, and other meetings; attending meetings in order to record minutes; compiling, transcribing, and distributing minutes of meetings; etc.

  • Responsible for maintenance of any pertinent board records and materials, tracking of board expectations and elements of onboarding and board governance.

  • Work in cooperation with the Development team to co-manage areas of donor relations which require President and CEO or board level involvement and support.

  • Set up and coordinates meetings and conferences.

  • Serve as a liaison representing the President and CEO on committees upon request.

  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, filing, and proofreading.

  • Work with the President and CEO to manage e-mail and phone messages

  • Create and modify reports, memos, letters, and other documents including special community correspondence in partnership with the President and CEO and as deemed appropriate by the management team.

  • Meet with and provides facility tours for individuals, special interest groups and others as needed.

  • Manage and maintain schedules and travel arrangements for President and CEO as needed.

  • Provide support for President and CEO’s community-based work, committees, and national, state and local boards, as needed.

  • Assist with all mission work as needed and requested with some or no prior notice including, but not limited to, serving as a truck spotter, helping with FARM Market/Community Garden/Freight Farms/on and off-site food distributions, preparation of meals and serving home-delivered meals.

  • Assist with other duties and projects as requested.

Requirements

  • Associates Degree or equivalent experience

  • Minimum three years’ experience in working in an executive assistant role supporting C-Level executives.

  • Excellent verbal and written communication skills, with the ability to interact with the utmost professionalism with all community leaders, board members and staff

  • Strong reporting, writing, and Microsoft Office skills, including proficiency with mail merge function

  • Solid organization and problem solving skills with the ability to analyze information

  • Experience in providing superior customer service

  • Current and valid driver’s license and access to an automobile

  • Must be capable of lifting a minimum of 35 lbs.

Salary Description

$58,500-$60,500/yr.
