Job Summary

The Department Coordinator – Facilities Management provides broad administrative support and coordination for the department. This role is responsible for performing a variety of clerical tasks, maintaining departmental records, assisting with scheduling and coordinating meetings, and handling general office duties. The ideal candidate is highly organized, detail-oriented, and proficient in office software applications.

Essential Functions:

  • Provide general administrative support to department members, including answering phones, responding to emails, and managing correspondence.

  • Assist with scheduling meetings, appointments, and conference calls for department members.

  • Coordinate travel arrangements and accommodations for department members as needed.

  • Maintain departmental records and files, including organizing and updating documents, reports, spreadsheets or website updates.

  • Prepare and distribute departmental communications, memos, and announcements.

  • Assist in preparing presentations and materials for meetings and events.

  • Order and maintain office supplies and equipment inventory for the department.

  • Assist in processing invoices, expense reports, and purchase orders.

  • Coordinate with other departments and external stakeholders as needed.

  • Perform other duties and special projects as assigned by department leadership.

  • Provide back-up coverage for other office staff members as needed.

Pay and Benefits:

  • Hourly range for this position is expected to be: Minimum $21.35 – Maximum $22.55/per hour

    Education/Skills Requirements

  • High School diploma or equivalent.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software applications.

  • Ability to work in multiple software environments and operating platforms.

  • Strong attention to detail and accuracy in work.

  • Excellent communication (written and oral) and interpersonal skills.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Must be capable of organizing multiple functions, appropriate prioritization, and possess basic problem solving skills.

  • Must have the ability to relate well with people under a variety of stressful situations and be able to handle working in a deadline driven environment.

Preferred:

  • Associate’s degree or higher.

    Experience Requirements and/or Equivalents

  • 1-2 years of experience in an administrative support role or similar position.

  • Proven experience in an administrative support role or similar position.

    Standard Work Days and Hours

Monday – Friday, 40 hours per week primarily between the hours of 7:00 am – 3:30 pm. May be required to work nights, weekends, and holidays during peak hours or special events to provide support as necessary.
