Job Summary
The Office of Career Exploration and Development ( CXD ) at Bowdoin College seeks a highly motivated and organized individual to fill the position of Assistant Director for Operations. This role is essential in supporting CXD’s mission to empower students with the skills and knowledge needed to pursue careers of their choice. This role supports office-wide initiatives and programs through data collection and reporting; grants management; and office-wide program support. This position ensures effective cross-office communication and operations, and links to key campus partners. The ideal candidate will possess strong analytical, organizational, and communication skills. They should be comfortable working independently and as part of a team.
Essential Functions:
Reporting, Data, and Technology:
Collects, analyzes, and develops reports on student engagement, career outcomes, and key department initiatives; makes recommendations to assist in developing strategic interventions and targeted programming.
Provides regular reports and staff training for CXD’s technology platforms, including Handshake, Airtable, Big Interview, Coursera, and others
Grant Program Management:
- Supports the administration of grant programs, such as CXD sponsored conferences, Career Accelerator Program, and the Funded Internship Program, in close collaboration with program directors.
Event Planning & Project Support:
Supports the strategic planning and execution of key career education events.
Hires, trains, and supervises student staff assigned to advisor programming support and front-desk coverage, and the Team Leaders who support Sophomore Bootcamp.
Office Operations:
Manages office-wide operations, including handling supply requests; processing contract invoices; and assisting with special office-wide projects and events as needed.
Responds to inquiries from students, staff, employers, and other external parties by providing prompt and thoughtful assistance. Actively monitors the CXD Inbox and fields questions through direct phone calls.
Education/Skills Requirements
Bachelor’s degree for an accredited institution required or an Associate’s degree and 4 years related experience.

Experience Requirements and/or Equivalents
Minimum requirement of 1-3 years of experience in higher education, career education, administrative management, and/or data management roles.
Candidates should have a thorough understanding of database logic and how to select or develop reporting criteria, and a curiosity and excitement to learn more. They should be proficient in Microsoft Office Suite (particularly Word and Excel) and can electronically move and organize files; be comfortable using the internet for research; possess excellent verbal and written communication skills; have the ability to solve problems; take initiative; and produce accurate work at a rapid pace with meticulous attention to detail. They should be goal-oriented, have a positive attitude, and be a driven team player.
Standard Work Days and Hours
This is a full-time, exempt position working 40 hours/48 weeks per year (.92 FTE ), with occasional evening or weekends as needed. An exempt level position requires the time commitment necessary to complete all essential duties. Standard administrative hours are 8:30am – 5:00pm.
This is an on-site role, and candidates must be able to work in person on Bowdoin College Campus in Brunswick, Maine.
COMPENSATION
The salary range for this position is expected to be: $54,500 – $58,000.
