Description
We are in need of an Office Administrator to join our team in Brownsburg, Indiana. The primary function of this role is to oversee the management of facilities and office spaces.
Responsibilities:
Clerical Duties:
Act as the primary point of contact for office administration and clerical support.
Manage office scheduling, correspondence, and communication, including responding to incoming emails, phone calls, and drop-ins.
Maintain and organize physical and digital filing systems to ensure efficient information retrieval and compliance.
Maintain inventories of office supplies and order when necessary to ensure staff productivity.
Facilities Duties:
Oversee the maintenance of office infrastructure, coordinating with vendors and addressing facilities-related issues.
Ensure adherence to health and safety regulations, including basic building compliance and emergency preparedness guidelines.
Report and resolve any building maintenance needs, such as plumbing, electrical, or HVAC issues, while liaising with vendors as required.
Conduct regular office walkthroughs to verify cleanliness, security, and general upkeep.
General Responsibilities:
Collaborate with leadership and teams to communicate office procedure updates or policy changes effectively.
Provide backup to other administrative and operational functions when needed, such as assisting with recruiting.
Support onboarding processes for new hires by creating a welcoming environment, coordinating desk setup with IT, and providing office tours.
Assist management with ad-hoc projects and administrative requests.
Requirements
Minimum of 3 years of experience in office administration, facilities management, or a similar clerical support role.
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with office management software or systems (e.g., Workday or scheduling tools).
Excellent organizational, problem-solving, and multitasking abilities.
Ability to communicate effectively across all levels of the organization.
Adept at handling confidential information with discretion and professionalism.
Flexibility to address urgent facilities or clerical support needs after hours if necessary.
