Position Summary:Children’s Aid Child Welfare and Family Services division provides comprehensive services to children of all ages and their families to strengthen their abilities and their potential to thrive. The Front Desk Receptionist assists the operations team with the day to day running of Children’s Aid Programs. The Front Desk Receptionist reports to the Site Director.

*Responsibilities: *

  • Understand and promote the organization’s Mission, Vision, and Core Values to ensure alignment with organizational policies and procedures.

  • Provide reception coverage and maintain the reception area.

  • Greet people entering the building, answer any questions, and create ID badges for guests.

  • Assist security as needed, providing directions and alerting staff when a guest is there to meet or visit them.

  • Answer a multiple line phone system, manage calls by routing them to the proper extensions or taking messages and delivering them within our message system along with setting up conference calls as requested.

  • Manage the building log of who is entering and exiting the building.

  • Accept deliveries and mail, organize them to be distributed to the correct recipients.

  • Handle meeting room bookings, utilizing public Outlook calendars and focusing on the strategic assignment of meeting space so as to maximize utilization. Sending initial confirmations in connection with bookings and following up to confirm the current status of the meeting, the accuracy of participant counts, the need for special equipment, etc.

  • Coordinating a wide range of services for meetings which have been booked, including Audio Visual requirements, food and beverage requests, conference room set-ups, signage, distribution of materials, etc. as well as confer with clients before and after events.

  • Set up and maintain A/V, Wi-Fi, conference phone and other room-based equipment.

  • Maintain appearance of conference rooms, meeting rooms and common areas; report cleanliness and repair items to Office Manager or facilities team.

  • Serve as contact point during Office Manager’s absence.

  • Maintaining strong relationships with office stakeholders.

  • Perform other duties as assigned.

*Minimum Qualifications: *

  • High School Diploma/GED required.

  • Bilingual (Spanish/English) required.

  • Strong Outlook calendar and e-mail skills required.

  • 2-years of front desk experience required.
