Capital City Club Catering Manager-Brookhaven in Brookhaven, Georgia
Essential Function:
Provide member assistance in booking, planning and producing private banquet business, including corporate/civic/social events and other member-related functions. Service-minded selling and logistical clarity needed to handle all elements of administrative preparation of events. Work closely with Catering Director, Banquet Manager, Banquet Chef and other departments to assure that information is followed and meets the members and guest expectations.
Seeking a dynamic and motivated, experienced professional to lead the Brookhaven catering office.
THIS IS NOT A CULINARY POSITION.
Responsibilities:
Provide calendar availability, policy, and pricing information to members/guests planning private events
Host site visits and planning meetings, gathering pertinent details, offer guidance and expertise
Produce banquet contracts, collect menus and details to generate BEOs, and make arrangements for additional products and services, as requested for event preparation.
Whenever possible, inspect room set-up prior to event, be present to greet host and introduce host to banquet manager or captain of event service.
Manage follow-up communication after each function; send thank you notes and invoices.
Collaborate with Club Event Manager on club functions, BEO, resources, etc...
Collaborate with Catering Director in promoting, advertising, and marketing the club’s social event facilities to members
Provide constructive feedback on functions to determine future needs and implement necessary changes to ensure the highest quality of events.
Produce required confirmation letters, sponsor letters, IRS letters and invoicing.
Reconcile each catering ticket to ensure correct charges have been applied, follow up and ensure billing is correct.
Collect and maintain daily guarantees and event BEO changes.
Generate ongoing documents for banquet, culinary, front desk, and housekeeping staff.
Keep the banquet software application up to date with all necessary information and disseminate all changes in a timely manner to the appropriate departments.
Attend professional development and training activities, identify new products or trends for enhanced event experience.
Lead weekly BEO operations meeting and attend other management meetings in the absence of the Director of Catering.
Other duties as required
Requirements:
Minimum two years’ experience in a high-volume Catering Office, private club or high end hotel property preferred.
Possess strong communication skills, both verbal and written.
Proficiency in Microsoft Office, PowerPoint, Photoshop, Publisher and have working knowledge of Microsoft Office software and the ability to learn catering specific programs
Able to work nights and weekends
Sitting, walking and light lifting, when needed.
