Description We are offering a permanent employment opportunity for a Receptionist role based in Brookfield, Wisconsin, United States. As a Receptionist, you will be tasked with handling incoming phone calls, assisting clients, managing confidential client information, and performing various administrative tasks. This role is pivotal in a fast-paced office environment where your skills in multitasking, organization, and customer service will be put to the test.
Responsibilities:
• Manage incoming calls on a multi-line phone system, directing them to the appropriate departments or personnel, and ensuring messages are taken as needed.
• Welcome and provide assistance to clients and advisors who visit the office.
• Safeguard sensitive client information and uphold confidentiality at all times.
• Sort and distribute incoming mail in a timely and efficient manner.
• Prepare outgoing mail and parcels for dispatch via appropriate courier services.
• Operate and maintain the postage meter machine, including troubleshooting any issues.
• Oversee office supply orders and inventory.
• Contribute to meeting preparations, including arranging catering and making reservations.
• Assist in the finalization of marketing presentations.
• Handle data entry and maintenance tasks on the Prophet CRM software system.
• Scan and file documents into the electronic filing system.
• Send out monthly, quarterly, and annual statements.
• Assist in the execution of large mailings.
• Maintain cleanliness and orderliness in common areas including the lobby, conference rooms, and kitchen.
• Perform other office duties as assigned by the supervisor. Requirements • Minimum of 2 years experience in a similar role as a Receptionist.
• Proficiency in answering a multi-line phone system.
• Strong customer service skills are essential.
• Demonstrated ability to perform data entry tasks with high accuracy.
• Must be comfortable with email correspondence and online communication.
• Outstanding interpersonal skills are required.
• Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word is expected.
• Experience in organizing files and maintaining an organized workspace.
