Description We are offering a permanent employment opportunity for an Executive Assistant in Brookfield, Wisconsin. This role falls within the industry of administrative support, where the selected candidate will be primarily responsible for providing comprehensive support to the leadership of a growing CPA firm.
Responsibilities:
• Ensure efficient and accurate processing of incoming and outgoing communications, including emails, phone calls, and mail.
• Oversee executive calendars, including the coordination of meetings, appointments, and travel arrangements.
• Handle the preparation and editing of various documents such as correspondence, reports, meeting notes, and presentations.
• Liaise with clients through diverse communication methods to answer queries, arrange meetings, and update records.
• Develop a comprehensive understanding of all software utilized in the tech-heavy environment of the firm.
• Assist in the planning, execution, and monitoring of firm projects and initiatives.
• Collaborate with various teams and departments to guarantee the timely completion of projects.
• Track the progress of projects, pinpoint potential issues, and communicate updates to the executive team.
• Assist in the creation of financial reports, dashboards, and KPIs.
• Uphold the confidentiality of each client and employee by adhering to all company procedures regarding information handling. Requirements • Proficiency in Customer Relationship Management (CRM) software
• Excellent communication skills, both written and verbal
• Experience in handling conference calls and virtual meetings
• Advanced knowledge of Microsoft Excel for data management and analysis
• Ability to manage complex scheduling and calendaring tasks
• Familiarity with the use of softphones for business communication
• Capacity to prepare comprehensive reports and presentations
• Proficiency in creating, editing, and formatting Word documents
• Ability to multi-task and prioritize work in a fast-paced environment
• Exceptional organizational skills with attention to detail
• Ability to maintain confidentiality and exercise discretion
