Reporting to the Senior Registrar, the Assistant Registrar will provide administrative support to the Senior Registrar and the Office of the Registrar including coordination of the daily operations of the office. This role will make certain allocated resources are encumbered according to the identified priorities. They will track all budget items to include invoice processing and reconciliation in the system. They will need to pay close attention to detail to organize, manage, and track Office of the Registrar emails, mail correspondence and maintain records for any action items and follow-ups. Coordinate Senior Registrar's travel authorizations and expense reports for conference travel including but not limited to hotel reservations, flights, conference registration and reimbursements. Review, process and affix the Senior Registrar signature to forms from the various certification and verification requests from current and alumni students. These are time sensitive forms which may impact their salaries, and their professional paths are requested throughout the academic year.
This role will review, carefully process, and affixed the Senior Registrar signature as well as respond to a variety of requests and inquiries from external parties, including but not limited to employers, background check agencies, and other institutions, that require the verification of enrollment status or degree information. This process will be carried out in strict adherence to the guidelines set forth by the Family Educational Rights and Privacy Act (FERPA), always ensuring the privacy and confidentiality of student records. The administrative specialist will be responsible for ensuring that all responses are accurate, timely, and compliant with federal regulations.
Liaise with the IT department to maintain all technology needs for the Office of the Registrar.
Liaise with the Building and Grounds staff to facilitate work order requests from office staff members.
Provide clear communication to staff on approaching deadlines on behalf of the Senior Registrar.
Respond to informational inquiries from faculty, student walk-ins, live chat, and from the Registrar’s Office email box daily.
Actively manage all Registrar related forms ie: tuition waivers, CUNYfirst, Coursedog, DegreeWorks and EAB forms from college constituents which require Registrar’s review and signature which will be forwarded to IT Department for processing.
Maintain department fiscal plans and budgets; assists in budget administration and invoice processing.
Be as a resource to students, faculty, and others who contact the Office of the Registrar for basic information, instructions, and materials related to our policies and procedures.
Supervise and train college assistants assigned to the unit.
Performs related duties as assigned by Senior Registrar
QUALIFICATIONS
Bachelor's Degree and four years' relevant experience required.
