General Purpose of Role :

Accurately and efficiently raise Orders for dispatch, collection or logistics requirements from multiple PCI sites in accordance with standard procedures.

Main Responsibilities :

  • Monitor the individual sub-folder(s) within the relevant email/order inboxes.

  • Manage assigned client order requests with correct categorisation during the raising of the sales order within the ERP (Enterprise Resource Planning) system.

  • Meet client expectations by raising the order(s) accurately, efficiently and within the required standard timelines.

  • Meet department expectations by raising the orders(s) accurately, efficiently and required daily targets.

  • Create Sales Order numbers within the ERP system and prepare any required documentation e.g., QP Certificate, Temperature Monitor Instructions.

  • Book courier for assigned orders and generate courier airway bill for ongoing shipments.

  • Assist with order queries or issues which may arise during the raising of a sales order notifying senior personnel within the department.

  • Conduct second checks of the order documentation raised by colleagues, prior to providing sales order job-sheets to the Warehouse teams based at multiple PCI sites.

  • Liaise with Warehouse teams at other PCI sites daily to prioritise urgent dispatches or urgent order requirements.

  • Full compliance with PCI’s Health and Safety standards.

  • Monitor POD (proof of delivery) inbox, ensuring all emails, temperature excursions and IRT (software) updates have been categorised accurately and have been fully completed.

Previous Work Experience :

  • Whilst previous order processing experience is desirable, it is not essential. We encourage applications from candidates with similar administrative experience.

Specific Knowledge / Skills Competence :

  • Excellent written and communication skills.

  • Exceptional attention to detail.

  • Experience of using Microsoft Office packages (e.g. Outlook, Word, Excel) is essential.
