Brief Position Overview
The department of Education is seeking a full-time License/Certification/Permit Technician. The role of the License/Certification/Permit Technician is critical to the success of the field placement and licensure office. This role includes review of records for recommendations for licensure in cooperation with the Office of Public Instruction ( OPI ) policies and procedures, oversight and maintenance of the Board of Public Education Intern program, and clerical support of the work within the field placement office.

General Statement
The role of the License/Certification/Permit Technician is critical to the success of the field placement and licensure office. This role includes review of records for recommendations for licensure in cooperation with the Office of Public Instruction ( OPI ) policies and procedures, oversight and maintenance of the Board of Public Education Intern program, and clerical support of the work within the field placement office.
Duties and Responsibilities
Initiate, oversee, and complete all licensure/certification procedures for educator, school counselors, endorsements, library media, and school administrators.
Oversee all licensure/certification data from program entrance to final certification recommendation.
Create and maintain licensure files.
Develop and maintain procedures to ensure compliance with applicable University and State licensure/certification policies, practices, procedures.
Collaborate with Field Placement & Licensure Office and Department of Education staff to ensure compliance with applicable University, Montana Board of Public Education, State Office of Public Instruction and National licensure/certification policies, practices and procedures.
Collaborate with department personnel to ensure student support during the programs leading to endorsement(s), and student teacher program.
Serve as initial point of contact to the Field Placement & Licensure Office during routine office hours (8am-5pm), fielding inquiries, directing student questions and concerns, and by staying current on Montana licensure requirements, issues and trends as needed.
Conduct routine office responsibilities in a timely manner (data recording; background checks; phones; mail; supplies; procedures)
Maintain confidentiality related to sensitive student information
Complete special projects based on department needs (5-10%)

Required Qualifications – Experience, Education, Knowledge & Skills
Demonstrated competence organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability to changing priorities while maintaining a positive, effective, and professional attitude.
Demonstrated competence using standard office technology, including personal computers, multiple software platforms, copiers, and other devices. Software may include word processing, spreadsheets, electronic calendars, and e-mail. Microsoft Office Suite preferred.
Demonstrated competence maintaining confidentiality, and processing, and verifying information with a high degree of accuracy and close attention to detail.
Preferred Qualifications – Experience, Education, Knowledge & Skills
Successful experience in a “first point of contact” role in an institution of higher education (e.g., answering phone calls, handling and directing walk-in traffic, directing students, parents, and constituents to appropriate information sources).
Knowledge of university and departmental program requirements, policies, and procedures relevant to faculty, staff, and students.
Familiarity with teaching licensure processes.
The Successful Candidate Will
Ability to interpret rules and regulations as it pertains to the department.
Ability to complete the following tasks:
Advise, assess, collect documents and data, maintain databases
Develop and maintain procedures to ensure compliance with applicable University and State licensure/certification policies, practices, procedures.
Oversee all licensure/certification procedures for teachers, educators, school counselors and school administrators.
Oversee all licensure/certification data collection/maintenance.
Provide office support for the Director and Assistant Director as needed for successful implementation of placements and oversight of field supervision.
