GREAT PLAINS VETERANS SERVICES CENTER HR Coordinator in BOX ELDER, Montana

Great Plains Veterans Services Center is a 501(c)(3) organization headquartered on the Rocky Boy's Indian Reservation in North Central Montana. The Veteran Support Service (VSS) program was established to provide Veterans with access to all VA benefits they have earned; assists unemployed Veterans to become self-sufficient by transitioning them into the workforce; supports homeless Veterans or at-risk for homeless Veterans in attaining and maintaining housing; provides mental health and suicide prevention support and provides case management. In 2014, GPVSC began operating its Veterans Transportation Services (VTS) program which provides transportation services to rural Montana Veterans for VA and VA-referred appointments. Between the VSS and VTS, GPVSC serves 28 counties which includes 6 Indian Reservations. JOB OVERVIEW The Human Resource Coordinator aids with and facilitates the human resource processes at all business locations. This role administers employee health and welfare plans and acts as liaison between employees and insurance providers. The Human Resource Coordinator is responsible for the recruiting experience, including updated job descriptions, job postings, candidate selection, interviews, pre-employment mandates, new hire orientations and training. This role is responsible for ensuring compliance with HR policies and procedures and accurate record keeping. This role will be the back-up for payroll processing. This position reports to the Administrative Manager and will be responsible for many duties, including but not limited to: - Responsible for new hire orientation and completion of all required documentation. - Responsible for conducting reference checks, new-employee background checks, pre-employment physicals, and any other necessary pre-employment steps. - Completes Forms I-9, verifies I-9 documentation and maintains I-9 files. - Ensure compliance with all HR policies and procedures. - Responsible for administering the Drug and Alcohol Testing policy and will be the sites Designated Employer Representative (DER). - Administers health and welfare plans, including enrollments, changes and terminations. Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.? Reconciles benefits statements. - Conducts audits of payroll, benefits or other HR programs and recommends corrective action. - Will be the backup for payroll. - Tracks employee leave and ensures compliance of all leave policies. - Responsible for worker comp-ensation administration and claims. - Performs customer service functions by answering employee requests and questions. - Assists with processing of terminations. - Manages the recruitment and interview process. - Tracks status of candidates and is the main point of contact. - Responsible for candidate communication through the recruitment process. - Coordinates and sets up employee training. - Files documents into appropriate employee files. - Maintains the integrity and confidentiality of employee files and records. - Have complete discretion when dealing with confidential and sensitive information. - Coordinates with the third-party HR support team and the employees? manager/supervisor on employee relations. - Assists or prepares correspondence as requested. Perform other duties as assigned in support of GPVSC mission and goals. KNOWLEDGE, SKILLS, and ABILITES - Working understanding of human resource principles, practices and procedures. - Excellent time management skills with a proven ability to meet deadlines. - Proficient knowledge of Microsoft Office Suite. - Knowledge of general office procedures, prac ices, and equipment. - Strong interpersonal skills. - Ability to display non-judgmental and empathetic listening skills. - High degree of detail-oriented skill level. - Knowledge and understanding of the importance of adhering to confidentiality standards. - Ability to work collaboratively and maintain a positive work environment. - Skill in establishing rapport and working to build and maintain effective working relationships with Veterans, staff and community GPVSC representatives. - Take initiative and manage multiple projects concurrently. - Ability to perform job duties with integrity and innovation to ensure completion and a high level of quality. - Ability to understand and adhere to required administrative policies and procedures. - Excellent communication skills to ensure efficiencies and quality customer service with people from varied backgrounds. - Skill in providing assistance to the public, coordinating activities, providing technical assistance, and working with various community agencies to coordinate services for clients. - Ability to quickly learn complex VA processes for benefits and enrollment, and federal, state, local, and tribal resources, particularly in the field of job services and employment resources. - Ability to support the organization?s mission along with sensitivity of cultural and workplace harmony. - Ability to meet deadlines along with attention to details a must. - Excellent written and verbal skills. - Self-directed, flexible with strong problem-solving abilities. - Ability to work independently and as a team member. - Presentation skills along with professional behaviors, attitude and appearance. MINIMUM QUALIFICATAIONS - Bachelor's degree in human resources or related field and/or two years of equivalent experience. PRFERRED QUALIFICATIONS - SHRM-CP credential preferred. - Experience working with veterans preferred. Any combination of experience and training which provides the equivalent scope of knowledge, skills, and abilities necessary to perform the work will be considered on a case-by-case basis. The Great Plains Veterans Services Center may provide a training assignment for chosen candidates who do not meet minimum qualifications. Employees in training assignments may be paid a lower starting wage. Conditions of the training assignment will be stated in writing at the time of hire. PHYSICAL DEMANDS and WORKING CONDITIONS - Environment to include work office and/or outdoors for community events. - Travel requirements: Occasional day travel required. - Prolonged periods of sitting at a desk and working on a computer. - Must be able to lift 20 pounds at times. - Create and maintain a safe/secure working environment by adhering to safety, security, and health requirements. Integrate injury, illness, and loss prevention into job activities by attending any necessary training and implementing best practices.
