We are looking for an Executive Assistant & Site Coordinator to join our global team.

The Executive Assistant & Site Programs Coordinator is a dual role based out of GE Vernova's Seattle area hub where we develop and deliver advanced software applications for our global utility customers. This role is part of the global marketing organization and supports the marketing executive on-site with calendar, travel, and expense management. In addition, this role is critical to providing exceptional experiences for our customers, partners, and internal executives who visit the site. This role reports into the Chief Marketing Officer, Grid Software and requires being onsite in our Seattle metro area office.

Roles and Responsibilities

Executive Assistant

  • Provide day-to-day executive support to the marketing executive onsite. This includes managing an active calendar with appropriate gatekeeping, arranging domestic and international travel, and preparing expense reports.

  • Prepare professional communications with attention to detail and discretion for confidential information.

  • Support executive leadership team member visits to site. Coordinate with other executive assistants to ensure a smooth visit including temporary badge, arrival/departure assistance, meeting space, etc.

  • Provide administrative support for marketing initiatives including events.

Site Programs

  • Coordinate customer and visitor briefing meetings from logistics through meeting experience. This includes booking meeting rooms, developing agendas, securing speakers, arranging catering, communicating logistics, and serving as the primary point of contact.

  • Assist with and prepare high-quality meeting materials for customer briefings and internal leadership meetings. These include standard welcome slides, videos, agendas, briefing books, action logs, etc.

  • Lead the coordination of employee engagement program. This includes scheduling meetings, draft/send communications to team members, taking notes, create/manage action plans, and assist team with executing events and activities.

  • Provide support or lead the coordination of site events such as employee team meetings, town halls, employee resource group events (e.g. Girls Who Code, Earth Day), etc.

Required Qualifications

  • Bachelor’s degree and 3+ years of professional experience in an administrative role, OR 6+ years of professional experience in an administrative role

Skills and Experience

  • Experience with executive level calendar management, domestic/international travel coordination, expense reports

  • Highly proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, and Word)

  • Experience with conference room and telepresence software (Microsoft Teams)

  • Experience writing, editing, proofing internal communications

  • Experience crafting high-quality presentations using PowerPoint

  • Event planning and execution including managing logistics and attendee experience

The salary range for this position is 80,040.00 - 100,050.00. The specific salary offered to a candidate may be influenced by a variety of factors including the candidate’s experience, their education, and the work location. In addition, this position is eligible for a variable incentive compensation bonus.
