_Position Information:_ Seasonal Office Support Specialist I, Division of Conservation and Resource Stewardship Start Date: 11/10/24 End Date: 3/15/25 (18 weeks) @37.5hrs/week Vacancies: 1 Location: 10 Park Plaza, Boston, MA 02116 Eligible for hybrid work schedule: Yes Please note, if you are selected for this position and will be working less than 90 days, the position will automatically revert to a short-term position. Our short-term positions are not part of the salary scale that is advertised within this job posting. It is purpose of the Conservation and Resource Stewardship team to ensure these lands are available for future generations. The Department of Conservation and Recreation seeks applicants for the position Seasonal Office Support Specialist I (OSSI). The incumbent will provide administrative support to the Division of Conservation and Resource Stewardship's Deputy Commissioner and business management staff as well as the Office of Cultural Resources, Office of Natural Resources, Office of Climate Resilience, Research Office, and GIS Office. This position will be primarily based out of the State Transportation Building at 10 Park Plaza. _General Duties include:_ * Liaise with inter and intra-agency administrative and HR professionals to support Program and Bureau needs. * Respond to inquiries and provide information to internal and external contacts. * Assist with the procurement of goods and services and payment of Program and Bureau expenditures. * Responsible for the organization and upkeep of detailed filing systems/file rooms. * Responsible for screening, answering, and following up on phone calls from internal and external parties. * Maintain contact with agency staff, external agency representatives and the general public. * Spreadsheet development, payroll information and data population/tracking and facilitation. * Ensure office activities are operational and in compliance with standards or guidelines. * Schedule and attend meetings; maintain electronic meeting and event calendars. * Use of computer software or databases to prepare reports and compile data, conducting research as needed. * Use of office equipment; printers, scanners, fax machines. * Assist with coordinating unit or department programs and activities. * Other duties as assigned. _Preferred Qualifications:_ * Excellent interpersonal skills. * Ability to work independently and part of a team. * Ability to communicate effectively in written and verbal expression. * Proficiency with Microsoft Office Suite, Outlook, MS Teams, and SharePoint. * Knowledge of the laws, rules, regulations, policies, procedures, specifications, standards, and guidelines governing assigned agency or unit activities. * Familiarity with MMARS, COMMBUYS, HR/CMS, and MassCareers. Office Support Specialist I: Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below: Substitutions: I. An Associate’s or higher degree with a major in business administration, business management or public administration may be substituted for the required experience. II. An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
