STG International Office Manager- Region 1 in Boston, Massachusetts

OFFICE MANAGER

REGION ONE CUSTOMER SERVICE SUPPORT CONTRACT

STG International is seeking a qualified Office Manager candidate to work full-time to support the Office of Head Start Region I Regional Office located in Boston, Massachusetts. The Office Manager will demonstrate a positive attitude and a strong work ethic to become an integral member of the STGi Support Team. The Office Manager will work in the Regional Office located in downtown Boston. This is a hybrid remote position with a minimum of 3 days required in office.

The Office Manager will be responsible for the following tasks :

General Administrative Support for daily operations of the Regional Office, includes:

  • Providing clerical and event planning support, including logistics, schedule coordination, meeting room reservations, accurate and comprehensive note-taking services and summary documentation of meeting content and action items

  • Clerical duties including answering Regional Office phone calls, scanning, photocopying, data entry record-keeping activities, and drafting official Regional Office correspondence associated with the maintenance of OHS and OGM official records

  • Maintaining and monitoring electronic files for accuracy and completeness (ACCESS Database and Head Start Enterprise System (HSES), includes uploading required information into HSES

  • Producing standardized correspondence templates and drafting correspondence for federal staff signature

  • Generating timely and accurate recipient funding guidance letters

  • Sending correspondence electronically through HSES

  • Conducting research on program topics and issues related to the assignments of the contract per the direction of the Regional Office and the Project Manager

  • Providing word processing, spreadsheet creation and maintenance, and electronic presentation development support to Regional Office staff

  • Supporting Office of Head Start travel activities including the coordination and management of Regional Office staff travel schedules and processing of travel authorizations and vouchers using the CONCUR system

  • Supporting Office of Head Start scheduling, including maintaining Outlook calendars and coordinating data entry

  • Coordinating Regional Office risk management process, including scheduling the staffing meetings, taking notes, and producing risk reports

  • Coordinating the routing of external inquiries and complaints to the appropriate OHS and OGM Specialists

  • Manage GSA car reservations and complete monthly maintenance and gas report to GSA

    Waiver and Program Modification Requests Support includes:

  • Tracking grant recipient waiver or program modification requests

  • Communicating and coordinating the routing of grant recipient requests with Regional Office staff to ensure all required information is included.

  • Completing required waiver documentation forms and/or correspondence for grant recipients

    Other Office Manager Support and Tasks include:

  • Processing and tracking key grant recipient staffing changes

  • Creating, updating, and maintaining standardized and customized email distribution lists of grantees

  • Updating grantee assignments in HSES (Program Specialists, Fiscal Specialists, & T&TA Assigned Staff)

  • Creating and generating reports as requested by the Regional Office

  • Assisting with other Support Team special projects and tasks, as assigned by the Regional Office and Project Manager

  • Participating in special projects as assigned by Project Manager and/or Regional Program Manager

  • Participating in formal or ad hoc teams and work groups as assigned by the Project Manager per the direction of the Regional Office

  • Attending and participating in meetings, trainings, and other professional development opportunities as determined by the Regional Office as available with RO approval and Project Manager concurrence

  • Participate in meetings at Federal, State, and local levels and supporting the Regional Office in the development of written materials including presentations, training materials and handouts, reports, and recommendations.

Required SkillsRequired Experience

Ideal candidate will have the following minimum qualifications:

  • Preferred Associate Degree from an accredited university or college; a minimum of 3 years demonstrated professional experience providing administrative support to technical and senior staff members

  • Strong computer skills, including demonstrated proficiency with Microsoft Office Suite

  • Demonstrated experience with scheduling and logistics.

  • Demonstrated ability to communicate clearly, both orally and in writing, and produce high quality written products such as memoranda, presentations, and correspondence

  • Ability to pool and share resources among diverse individuals and organizations

  • Demonstrated ability to organize and manage multiple tasks at the same time

  • Strong written and oral communication skills

  • Ability to work successfully in a team environment.

  • Ability to take initiative to identify and execute administrative tasks with minimal supervision

  • Ability to be flexible in response to changing needs and priorities of the office.
