The Department Executive Director provides administrative and financial leadership, oversight, and management of the Department of Administrative Director Neurosurgery and Otolaryngology, which may be comprised of faculty, team members, and contingent team members in subspecialty divisions when applicable.
Job Overview
This position accountable for service line management, taking leadership for the strategic, financial and operational aspects of the Department. In collaboration with departmental and physician leadership, takes full accountability for strategic business plan development, the achievement of annual and long-term operational goals for the Department, excellence in patient access and care, and effective financial management.
Job Description
Minimum Qualifications:
Bachelor’s degree in Healthcare Administration or Business.
Seven (7) years of progressive leadership growth in the healthcare industry.
Preferred Qualifications:
Master’s degree in Healthcare Administration or Business.
Ten (10) years of progressive leadership growth in the healthcare industry.
Experience with EPIC.
Administrative and/or financial management work experience in an academic medical center and/or large physician group practice.
Experience with development of clinical service lines in complex organizations, with multiple sites of care.
Experience with physician practices.
Experience leading diverse teams.

In collaboration with departmental and physician leadership, manages all operational facets of the department, including procurement of equipment, ambulatory practice management, patient satisfaction, space management, etc
Collaborates in the development and management of the annual business plan. Develops strategies to achieve annual and long-term operational and financial goals, and expansion of the practice.
Ensures efficient business operations and the smooth integration with other hospital business operations, to effectively support the achievement of the business plan.
Develops, recommends, and administers physician’s financial incentive programs to foster continual improvements in meeting established goals for the service line.
Collaborates with External Affairs to develop and carry out marketing and/or public relations programs to enhance Tufts Medical Center’s image within relevant healthcare communities as a medical service provider of choice.
Maintains effective liaison with a variety of staff and management in various departments and functions, such as Patient Accounts, Information Systems, Human Resources, Purchasing, Maintenance, Patient Accounts, etc. Resolves a variety of administrative issues.
May work collaboratively with the Billing and Finance Departments to fully understand the practice’s AR, denial trends, referral management and areas of improvement/training needed by staff and providers.
Identifies and utilizes appropriate statistical measures and ensures or produces meaningful reports that enable medical leadership to make clinical process decisions and monitor and continually improve clinical processes.
Develops, implements, and tracks programs to ensure appropriate access and coordination of care for patients, resulting in a high level of patient/customer satisfaction.
Participates in the capital acquisition process, identifying need for replacement capital and researching new program requirements.
Assures that all relevant legal, regulatory, and organizational compliance standards are maintained.
Supervises administrative staff, including encouragement of professional development opportunities, which align with organizational priorities.
Advocates the mission, philosophy and core values of the department, in concert with the mission of the organization.
Maintains a collaborative relationship with peers and colleagues in the department to insure that specified goals are achieved.
Oversees the administration and monitoring of business operations, working collaboratively with department chair.
Physical Requirements:
Frequent sitting, occasional standing or working, and lifting of 10-15 lbs.
May be exposed to dust and other typical office-like discomforts.
Manual dexterity using fine hand manipulations for computer keyboard operation.
Requires ability to see computer screen and read reports.
Requires ability to hear instructions from physicians and other clinical or nursing staff.
Some exposure to hazardous materials (blood, etc.).
Skills & Abilities:
Computer literacy required including familiarity with Microsoft Office (Word, Excel, PowerPoint, Outlook), relational databases (Access), and comfortable learning new computer applications.
Excellent interpersonal and customer service skills including excellent interpersonal and telephone skills.
High degree of tact is necessary due to frequent interaction with patients, physicians, and insurance companies.
Strong business skills, including understanding of health care expense, billing, revenue, and reimbursement models and how they affect business plans. Strong budgeting, financial planning, and monitoring expertise.
Analytic and quantitative skills are needed to design and produce financial and clinical reports to make resource-planning decisions.
Excellent organizational skills required with attention to detail. Ability to prioritize work and be flexible with work assignments.
Knowledge of medical terminology.
Ability to work independently with a minimum of supervision in routine matters. Self-motivated.

Responsibilities typically include: ownership of short to mid-term (1-3 years) execution of functional strategy and the operational direction of the Department, problems faced are often complex and require extensive investigation and analysis, and requires ability to influence others to accept practices and approaches, and ability to communicate and influence executive leadership.
