Performs a variety of administrative duties in support of the operation of the Health Services Division; performs administrative duties for the Health Services Administrator and supervises the Health Services Administrative Technicians/Case Manager’s. Position is located in the Ada County Sheriff's Office, Jail Services Bureau, Health Services Division.
Essential Functions
Provides administrative support to the Health Services Manager such as scheduling, software management, budget support, tracking patients, audit prep, supply ordering.
Works with providers of medical services for coordination of inmate health care;
Plans, assigns, reviews and supervises the work of case managers and administrative staff of the Health Services Division;
Conducts appraisals, analysis and evaluations of administrative staff and their work;
Provides continuing training and makes recommendations concerning training needs of administrative/case manager staff;
Prepares and coordinates work schedules and approves absences for administrative staff/case manager.
Investigates and reports on complaints or inquiries concerning actions, inactions, conduct and/or job performance of administrative staff/case manager.
Briefs personnel and ensures that current and relevant information is conveyed to peers and administrative/case manager staff as shifts and assignments change;
Ensures that proper work procedures are followed, and ensures compliance with all policies and procedures;
Imposes minor disciplinary actions and provides input and recommendations for possible major disciplinary actions;
Interviews applicants for employment and makes recommendations for hiring;
Gathers data, analyzes, and makes recommendations regarding budgetary needs of the division;
Makes recommendations regarding the establishment or changing of policies and/or procedures; and
Performs related duties as required.

Job Requirements
High school diploma or equivalent;
A minimum of two years of previous administrative support experience;
Previous experience supervising staff;
College coursework in Business Management or a related field preferred;
Knowledge of personal computers, word processing and other software applications necessary to produce products such as SOPs and document progress on major projects and to manipulate complex data and display the data in an informative format;
Knowledge of business English grammar, spelling and punctuation, and arithmetic;
Knowledge of modern office terminology, equipment, practices and procedures;
Skill in the operation of a personal computer, and ten-key calculator;
Ability to supervise and motivate staff;
Ability to exercise good judgment in the application of prescribed procedures and methods to routine matters;
Ability to type from rough draft copy with accuracy;
Ability to prepare accurate reports from statistical information;
Ability to prepare effective correspondence on routine matters;
Ability to maintain confidentiality;
Ability to follow written and verbal instructions;
Ability to learn the function and mission of the Sheriff’s Office;
Ability to make decisions on routine matters in accordance with established policies;
Ability to meet and deal effectively (usually on the telephone) with the general public;
Ability to maintain clerical records;
Ability to exercise tact and courtesy and work well with others

OTHER REQUIREMENTS
Must be at least 18 years of age;
Must appear before an oral board and complete a polygraph and background check prior to entrance on duty;
This position has been designated safety sensitive and therefore the incumbent is subject to random drug testing.
WORK ENVIRONMENT AND PHYSICAL DEMANDS
Work is performed in a correctional facility;
The incumbent is subject to inside environmental conditions;
Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.
