POSITION GENERAL SUMMARY:

This position oversees and supervises a team of Administrative Specialists at multiple locations in the Juvenile Services Department, ensuring the efficient and effective operation of administrative and clerical functions within the Probation Division. This role involves supervising and participating in daily administrative tasks, providing guidance and support to team members, fostering a collaborative work environment, and ensuring that administrative functions are executed with a high level of professionalism and attention to detail.

DISTINGUISHING FEATURES OF THE CLASS:

Performs varied, moderately complex work under general supervision and according to pre-defined guidelines.

Essential Functions

  • Provides day-to-day oversight of administrative operations that includes customer service, data entry, processing customer transactions, record management, and other clerical tasks;

  • Supervises personnel, assigns work, reviews and evaluates performance, adheres to policies and procedures, resolves employee complaints, participates in interviewing and hiring employees, trains employees, tracks time, coordinates vacation schedules and leave coverage, and conducts individual or team meetings;

  • Coordinates and manages the proper organization, storage, and maintenance of electronic and paper records for juveniles;

  • Oversees the accurate handling, processing, and recording of Probation Division payment and cash transactions in accordance with Ada County policies, to include daily deposits;

  • Acts as a resource and provides guidance in resolving complex questions and issues for both the general public and internal staff;

  • Enforces administrative policy, procedures, and standards to ensure consistent, compliant, timely, and accurate work; Assists with updating and administering procedure changes as necessary;

  • Fosters a positive work environment that encourages team collaboration, professional development, and embodies the culture of Juvenile Services mission;

  • Coordinates work with clerks, law enforcement, and other internal or external stakeholders;

  • Conducts and oversees data entry, reporting, and analysis;

  • Performs the primary functions of Administrative Specialists as needed to maintain workloads during high-volume periods or to cover temporary absences;

  • Performs related duties as assigned.

ADDITIONAL FUNCTIONS:

  • Assists the Probation Manager and team members with special projects as needed;

  • Performs tasks related to maintaining office supplies, ordering, and inventory to support the needs of the team;

  • Performs related duties as assigned.

Job Requirements

  • High school diploma or equivalent required; Bachelor’s degree from an accredited university in a related field, or an equivalent combination of education and experience, preferred;

  • A minimum of four years of previous data entry and/or administrative support experience;

  • Previous supervisory experience preferred;

  • Knowledge of office terminology, clerical procedures, and general office equipment;

  • Knowledge of MS Office software and database management;

  • Knowledge of English grammar;

  • Knowledge of supervisory principles and concepts;

  • Skill in using a personal computer;

  • Skill in organizing and directing work;

  • Skill in communicating with culturally diverse populations;

  • Ability to supervise and motivate employees;

  • Ability to interpret policy and procedure manuals;

  • Ability to explain complex information such as rules and regulations;

  • Ability to type and enter data with accuracy;

  • Ability to meet deadlines;

  • Ability to coordinate work with other agencies;

  • Ability to understand and follow complex verbal and written directions;

  • Ability to develop and maintain positive and effective working relationships with other departments, personnel, supervisors, and the public;

  • Ability to work as a member of a team to accomplish division and department goals;

  • Ability to meet and deal effectively with the public, some of whom may be in crisis or under stress, in a tactful and courteous manner;

  • Ability to collect, handle, and account for money;

  • Ability to maintain confidentiality;

  • Ability to maintain alertness while entering significant amounts of data into the computer.

OTHER REQUIREMENTS:

  • Must possess and maintain a current Idaho driver’s license;

  • The incumbent is subject to a criminal records check, pre-employment drug screen, and fingerprinting prior to hire.

Work Environment & Physical Demands

  • Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions;

  • This position requires local travel to supervise administrative staff, manage records, and ensure smooth operations across multiple office locations;

  • This position may interact with customers or public in high-stress or crisis situations who may exhibit unpredictable behaviors; incumbent must be prepared to respond promptly to crisis and maintain composure to ensure the safety and well-being of visitors and staff;

  • This position involves exposure to potentially hazardous materials, such as handling urine samples for shipment. Incumbent will be required to wear personal protective equipment and follow strict hygiene protocols;

  • May be required to lift up to 20 lbs.;

  • Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.
