Position Summary:

Florida Atlantic University is seeking a Coordinator, Academic Support Servies - Boca Raton, FL.

Summary of Responsibilities:

  • Administers, manages, and supervises operations and processing for academic support services for doctoral programs, including but not limited to admissions and enrollment management, plan of study implementation, registration and course scheduling, supervisory and dissertation committee formation, proposal and dissertation scheduling, milestones completion, program and affiliate faculty management, SACS credentialing of graduate assistants, and MALW and degree completion audits.

  • Coordinate all admissions processes for doctoral students in Integrative Biology (IB) and International Max Planck Research School (IMPRS) Jupiter's programs. This includes collecting, collating, and facilitating the onboarding process for new students on the FAU side, providing application information to the admissions committee, and ensuring compliance with graduate school policies and procedures.

  • Provide comprehensive advising services to IMPRS and IB Ph.D. students, covering areas such as academic planning, course selection, scheduling, financial aid, student accounts, supervisory committee meetings, and adherence to program and university policies to facilitate timely graduation. Serves as the liaison connecting administrators and graduate students across multiple academic units and campuses.

  • Coordinate assignments for Jupiter-based Graduate Teaching Assistants and Graduate Research Assistants on a semester basis, working closely with the Business Manager for Jupiter Academic Affairs and the Boca Raton campus Lab Coordinator.

  • Manages graduate programs through effective and efficient oversight of recruitment functions, grants submission, promotional materials, and the development and implementation of initiatives to increase enrollment and recruit a diverse graduate student population. Work collaboratively with the educational training team at Max Planck Florida Institute for Neuroscience (MPFI), and participate actively in IMPRS selection events, including student retreats and the annual IMPRS Selection Symposium.

  • Assist the Executive Director of Academic Operations in coordinating advanced research techniques workshops in Jupiter for graduate students and postdoctoral fellows in partnership with MPFI.

  • Creates and maintains databases for and graduate students once they have graduated. Update graduate student advising handbook and Department's website.

  • Coordinate scheduling usage of, and access to, the Zeiss Solutions Center instruments at Florida Atlantic University by university faculty, students, and staff and by Jupiter campus partners (MPFI and UF-Scripps).

  • Consults with multiple units across the university with issues regarding admissions and matriculation, registration status, plan of study, transfer credits, paperwork submission, student requests and grievances, credentialing, and degree audits.

  • Prepare spreadsheets each semester for the wire transfer in support of IB and IMPRS students as part of the MPFI-FAU MoU.

  • Coordinates annual student meetings and disseminates information to applicants, students, faculty, and faculty at partner institutions regarding SUS/university rules, policies, and contracts.

  • Interprets and manages academic support services policies and procedures for graduate programs data collection, storage, and administration.

  • Designs, develops, and conducts special studies in the assigned area of academic support services. Collects and analyzes data as appropriate.

  • Responsible for submitting updates and material to maintain website, newsletter, and graduate programs promotional materials.

  • Provides back-up support with SACS credentialing of faculty and affiliate faculty appointments.

Minimum Qualifications:

Master's degree from an accredited institution in an appropriate area of specialization; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of experience required.

Salary:

$50,000 - $55,000 per year.
