Description
Areas of Focus and essential duties:
Supporting the orientation of floor staff to their position by facilitating monthly training makeup sessions.
Staying current on the company’s organization structure, personnel policy, and federal and state laws regarding employment practices in conjunction with VOA Corporate HR partners.
Sending faxes, notifying if faxes don’t send & distributing incoming faxes.
Scheduling visits when necessary and adding administrative appointments overseeing the Avanti receptionist calendar.
Oversee the process of distribution, completion & logging of time studies.
Create mailbox labels as needed.
Take notes of the weekly administrative team meeting.
Coordinate and facilitate the annual Avanti Open House in accordance with CARF accreditation standards.
Satisfying records requests as needed.
Discarding expired resident files after 7 years from discharge.
Creating and ensuring all necessary signage pertaining to federal and state compliance standards are present in necessary spaces.
Collaborate with Unit Supervisors to ensure all necessary signage pertaining to residents’ rights & programming is present in necessary spaces.
Ensure all necessary signage pertaining to VOA employees is present in staff offices.
Oversee the WeCare Connect surveys for Avanti. Share results with pertinent leaders and develop strategies to address.
Develop training recommendations to present quarterly at Avanti Leadership meetings based on feedback from WeCare Connect & Resident Satisfaction surveys.
Collaborate with identified divisional peer(s) to create the monthly YRS Divisional Newsletter.
Collaborate with identified divisional peer(s) to create employee of the month/quarter & other engagement-based retention initiatives.
DHS & CARF
Maintaining expertise knowledge on DHS compliance and 2960 licensing.
Maintaining documentation pertaining to DHS compliance and 2960 licensing.
Preparing staff files in anticipation of DHS interviews and/or investigations.
Provide support for DHS reviews, investigations, and communication.
Satisfaction surveys for youth, families, and 3rd parties.
Coordinate with Program Director and Program Manager to review service compliance and documentation.
Remain current on all contract requirements, accreditation and licensing standards and provide direction and support to facility staff on interpretation and expectations of the same in partnership with the Program Director and Program Manager.
Provide liaison services and coordinate activities/audits during accreditation and licensing reviews.
Data and Resource Management
Oversee all Residential Counselor files ensuring that direct care staff members are up to date on required training. Keep all Avanti Employee Development Plans updated.
Track data regarding documented events, outcomes, and measures identified by Program Director and/or leaders.
Floor Support and staffing:
Work collaboratively with Unit Supervisors to coach and train residential counselors into their positions for optimal performance and service delivery.
Collaborate with other administrative team members to plan and facilitate weekly team training and maintain and track attendance documentation.
Create printed and instructional materials to be used in training. Lead training as needed.
Collaborate with OSS for developing and maintaining training materials.
Collaborate with OSS and Program Manager on current training methods and best practices to facilitate training employees.
Assist in planning, creating and implementing each year's training courses and materials for the site.
Coordinate information flow regarding engagement activity planning, engagement activity budgets and engagement activity schedules in partnership with the OSS & Unit Supervisors.
Participation in Program On-call rotation.
Other duties as apparent or assigned.
