Position Title: Administrative Assistant III or Sr (Resource Planning & Rates)

Position Purpose:

This position is responsible for providing administrative support to the Vice President Resource Planning & Rates, the Member Rate Section, the RTO & Delivery Services Section, the Power Supply Planning Section, and the Power Modeling Section, with some supervisory oversight.

Essential Functions:

  • Support the general management of the Vice President Resource Planning & Rates office, including the orderly scheduling of all business activities, coordinating of travel arrangements, preparing and typing of correspondence, assisting with confidential matters, performing research for special projects, meeting preparation and note-taking, and preparing power point presentations.

  • Assist with the preparation of reports and presentations to the Board of Directors.

  • Convey the vice president’s instructions to various individuals and obtains information from other executives or outside representatives.

  • Receive and screen telephone calls, referring matters to the appropriate official or handling them personally. Schedules appointments for the Vice President Resource Planning & Rates.

  • Screen correspondence and publications. Respond to mail not requiring approval.

  • Review outgoing correspondence, under the Vice President Resource Planning & Rates’s signature, for compliance with established policy, conflicts with previously released statements, and appropriate tone. Collaborate with the originator when adjustments are needed.

  • Pay invoices and completes expense reports.

  • Assist in the preparation of End Use Survey books, Load Forecast books, Integrated Resource Plan books, rate books, and various regulatory filings of compliance documents, as required.

  • Responsible for ensuring all official documents that come in or out of the Resource Planning & Rates office are appropriately processed, routed, and filed according to the necessary document management requirements.

  • Complete contract/change requisitions.

  • Provide administrative support to the Board Planning & Marketing committee.

Qualifications :

Administrative Assistant III:

  • Associate's degree in administrative assistant; and 4 years administrative assistant experience; or

  • High school diploma or equivalent (GED or HSED); and 6 years administrative assistant experience.

Senior Administrative Assistant:

  • Associate's degree in administrative assistant; and 5 years administrative assistant experience; or

  • High school diploma or equivalent (GED or HSED); and 7 years administrative assistant experience.

Other Requirements:

  • Strong ability to work well with others, provide excellent customer service and handle sensitive and confidential information.

  • Strong ability to manage multiple tasks, prioritize and delegate work and keep track of various deadlines.

  • Excellent written and verbal communication skills; and strong attention to detail.

  • Proficient with Microsoft Outlook, Word, Excel and PowerPoint.

  • Able to establish and maintain effective working relationships with various departments throughout the Cooperative.

Typical Physical/Mental/Environmental Demands:

This position requires continuous sitting, standing, walking, and use of keyboard/computer; and occasional bending, kneeling, reaching, and lifting up to 25 pounds. Requires good finger dexterity, good color vision and hearing, ability to speak and the ability to perform close work. Requires the ability to initiate reports, conduct research, implement recommendations, and develop plans, procedures and goals. Must have the ability to communicate with a wide variety of people, and work under pressure to complete deadlines.
