Overview

The Client Operations department manages client-specific operational tasks across practice area within the agency, working closely with Strategy, Investment, HR, Finance, Invoice Reconciliation, and Agency Administration & Compliance. We centralize and standardize fundamental work required across all pieces of business, as well as bring tactical and detail-oriented work streams together to find smarter, faster ways of working. We create a space for those whose strengths include being highly organized problem-solvers. We help differentiate Collective from our competitors and provide a critical foundation for the agency.

The Senior Associate, Client Operations supports the Operations Supervisor and Associate Director. At the macro level, for their assigned client, the Senior Associate will manage financial reporting and compliance; ensure that the Investment and Strategy teams are adhering to the Client Operations processes by monitoring and correcting any quality assurance issues; create, steward and implement process improvements; act as a project manager for all Client Operations processes; share best practices with the Client Ops team as well as the Investment and Strategy teams. You will become very familiar with agency systems, policies and learn the efficient uses of the Microsoft Office suite. The ideal candidate has an analytic mindset, proactive problem-solving skills, and an eye for detail.

Responsibilities

Key Responsibilities:

  • Assist with internal and external reports to support the Client Operations processes, such as stewarding billing verification and completing client-facing financial deliverables

  • Serve as an internal point of contact for outreach for the Strategy and Investment teams, providing information or helping them work through issues.

  • Point of contact for client requests and questions

  • Support the creation and stewardship of Authorizations and ensure proper processes are followed by the Strategy team, flagging when over-authorized.

  • Work with Investment teams and Vendor Management to ensure that we are current with Vendor Payments and meeting clearing deadlines

  • Work with Tools & System to ensure that users have access to the correct systems such as MediaOcean, MediaTools and the Operating system.

  • Ensuring the Strategy and Investment teams are following proper processes for systems

  • Attend Agency system trainings and meetings (i.e. MediaOcean)

  • Assist the Operations Supervisor with miscellaneous Operations tasks and projects, including process implementation

  • Own communications with sister agencies and system leads regarding user access and data inputs

  • Execute regular audits and reporting checks to ensure process and data compliance across all systems that we manage

  • Mentor to the Associates and other more junior colleagues

  • Create and update training documentation

  • Assist Supervisor/Associate Director with internal and external audits

  • Participate in team meetings

Qualifications

  • 2+ years of experience in operations, project management, or data analysis, preferably in a media agency or advertising agency

  • The ability to rock the Microsoft Office suite, with proficiency with MS Office Suite (Word, Excel, PPT) and proven expertise in complex Excel formulas (vlookup, pivot tables, etc.) to support reporting

  • Quantitative and analytical skills, and willingness to embrace a role that requires a mix of art and science

  • Experience developing and presenting your thoughts and ideas

  • Flexible and able to adapt to change in a fast-paced and constantly changing environment

  • Brave voice who will suggest new ideas and challenge the status quo and can also help carry out the smart ideas of others

  • Thrives on a team and can meet tight deadlines on independent assignments

  • Proficiency in making progress/completing work, even with overlapping deadlines

  • Team player who enjoys learning and is willing to lean into new opportunities

  • Able to balance numerous, simultaneous work streams

  • Organized, detail-oriented, good with time management, obsessed with accuracy, a strong critical thinker, and able to juggle multiple tasks.

Compensation Range: $49,305 - $62,300 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
