Description
The Administrative Coordinator will assist the Director of Behavioral Health Programs with administrative supports tasks.
This position will be required to meet the requirements of a regular office schedule, working five days per week Monday- Friday, between the hours of 7am and 4:30pm.
Because the Administrative Coordinator will occasionally drive for Agency business, proof of vehicle insurance at $50K/$100K and a valid Maine driver’s license are required.
Duties include and are not limited to:
Processing and assigning referrals for all behavioral health, substance use, and IDD services effectively and efficiently
Updating the Agency’s referral management system with real time updates related to the status of referrals
Notifying Director of delays in the opening process and reason
Monitoring Team Leader supervision completion and accountability to deadlines
Tracking/logging complaints and assisting with internal investigations and mandated reports
Compiling and summarizing productivity reports for productivity meetings with CEO/COO
Obtaining topics and keeping agendas for all scheduled meetings Director of BH Programs holds
Attending , with Director, and keeping notes of all scheduled meetings in shared location (OneNote), emailing notes out after meetings and monitoring completion of follow ups
Ensuring necessary updates and completion of SOPs
Hosting policy review meetings and making necessary updates
Ensuring Shared Living Policy manual stays updated with Agency policy manual
Completing time off approvals and corresponding outlook notifications
Monitoring completion of Outlook schedules and daily note completion
Tracking follow ups and monitoring deadline completion
Assisting the Director with high-level projects
Qualifications
Position Requirements:
Proof of vehicle insurance at $50K/$100K and a valid Maine driver’s license are required
Bachelor's Degree required
Excellent verbal, written, interpersonal, communication, and presentation skills
Must be 18 years of age or older
Advanced skill level with Microsoft Office Word and Excel
Minimum of two years of office experience is required
Ability to work closely with a variety of professionals at State and local levels
High level of attention to detail
