Compensation: $68,000
$300 Sign-On Bonus After The Completion of the 90-Day Probationary Period
Job Summary:
Midwest Distribution, a leading vape distribution company, is seeking a dedicated and analytical Compliance Specialist with at least 5 years of experience in compliance or related fields. The Compliance Specialist will support the company’s compliance program, ensuring adherence to all applicable federal, state, and local regulations, particularly within the Tobacco/Vape industry. This role requires close collaboration with internal and external counsel to address regulatory concerns and maintain industry standards.
Key Responsibilities
- Compliance Management Support
Assist in managing the overall compliance program, including tracking metrics and analyzing regulatory changes.
Continuously monitor regulatory trends and promptly notify management of any significant changes impacting the business.
- Regulatory Communication & Coordination
Act as a liaison with federal and state regulatory agencies to address compliance matters and ensure effective communication.
Respond to inquiries, letters, and requests from state regulatory authorities regarding compliance issues.
- Tobacco/Vape Industry Guidelines
Coordinate and communicate state guidelines specific to the Tobacco/Vape industry.
Ensure local reporting and regulatory procedures are reviewed and updated annually or as necessary due to regulatory changes.
- Collaboration with Legal Counsel
Work closely with internal and external legal counsel to address compliance-related legal matters.
Consult with legal teams on regulatory interpretations, responses to legal inquiries, and mitigation strategies for potential compliance risks.
- Compliance Audits and Reporting
Conduct routine audits of products, customer accounts, tax guidelines, and processes to detect errors, submitting accurate reports to state authorities.
Maintain and update OCR data, customer files, and licensing information as required.
- Tax Management and Reporting
Utilize tax management software to handle compliance-related tax filings efficiently.
Prepare and submit monthly excise tax returns for business partners, managing updates for tax rates on vape products at the state, county, and city levels.
- Stakeholder Communication on Tax and Statute Changes
Keep stakeholders informed of changes in state tax rates and other regulatory adjustments.
Ensure that updates to compliance policies are communicated clearly and documented effectively.
- Credit and Tax Adjustments
Calculate and process tax adjustments and credits as necessary.
Manage the collection of outstanding tax receivables from customers, ensuring timely and accurate billing.
- Research and Policy Updates
In consultation with internal and external legal counsel, Conduct ongoing research into tax law changes and updates, ensuring organizational compliance across jurisdictions.
Maintain up-to-date knowledge on financial and tax system requirements relevant to the vape industry, ensuring adherence to company policies.
- Vape Product Taxability and Configuration Support
Provide support in configuring tax settings for vape-related products, ensuring alignment with compliance requirements and business needs.
- Special Projects
Assist with special compliance projects as needed, ensuring alignment with departmental and company initiatives.
Qualifications
Education & Experience:
Bachelor’s degree in business, Accounting, Finance, Legal Studies, or a related field.
Minimum of 5 years of experience in compliance, tax management, or a related field, with a preference for experience within the tobacco or vape industry.
Skills:
Strong analytical skills with high attention to detail.
Excellent written and verbal communication abilities.
Familiarity with tax management software and Microsoft Office Suite.
Proficiency in data analysis, regulatory research, and reporting.
Knowledge & Abilities:
Knowledge of federal and state regulatory requirements, particularly for the Tobacco/Vape industry.
Ability to work independently and manage multiple compliance tasks under tight deadlines.
Strong organizational skills with the capacity to document and maintain accurate records of compliance activities.
Ability to collaborate effectively with legal counsel to interpret and implement regulatory requirements.

Regulatory Compliance: Consistently ensure adherence to applicable regulations in the Tobacco/Vape industry.
Timely Reporting: Maintain accurate and timely compliance reports for submission to management and regulatory agencies.
Stakeholder Collaboration: Effectively communicate and coordinate with internal and external stakeholders to support compliance objectives.
Work Environment
This position is full-time and onsite, based at Midwest Distribution’s headquarters in Bensenville, IL.
Physical Demands
This role requires frequent computer use and standard office work.
The role is primarily sedentary, with a need for clear focus during compliance audits and research.
Position Type/Expected Hours
Full-time, Monday to Friday, 9:00 AM to 6:00 PM.
Travel
Minimal travel may be required for training or inter-departmental collaboration.
Additional Eligibility
Must have legal authorization to work in the United States.
