About This Role:

The position of sponsored projects coordinator is responsible for providing guidance and support to faculty and staff in an academic environment that have secured fundings through research, education and service grants, cooperative agreements, sub awards, and contracts. The position ensures that program criteria are fulfilled in compliance and according to the terms of the grant/contract award, and facilitates productive research operations, particularly in finance, and procurement and time and effort certification. This includes assisting with managing budgets, purchasing equipment and supplies, processing EPAF’s and generating time and effort reports. The candidate will also be expected to prepare timely reports for review before submitting to the funding agencies.

What You’ll Do – Position Responsibilities

  • Provide grant compliance guidance and serve as a liaison in coordinating grant execution activities among faculty, students, and staff members at Lamar University. Works closely with faculty and staff to assists in completing grant objectives. Support grant activities for Principal Investigators (PI), including producing the time and effort report that serve as evidence of personnel expenditures charged against sponsored projects.

  • Coordinate with departmental and college-level business managers and coordinators on issues regarding sponsored grants. Coordinate with multiple campus departments include finance, HR, and payroll to manage budgets and compliance.

  • Direct and implement procedures for procurement of materials, supplies and capital equipment that expensed from grant accounts. Perform initial review of grant reports, development and adjustment of budgets, coordination of budgeted funds, arranging travel accommodations.

  • Prepares agency and internal Excel budgets in addition to other associated forms required by sponsors and/or departments in accordance with university and sponsor polices. Collects and analyzes data in preparation for monthly reports for distribution to PI. Meets with PI monthly to review grant finance activity projections.

  • Facilitates award management. Provides oversight in monitoring all expenditures including grad students, summer pay for researchers, etc. Anticipates spending, payroll obligations and analyze scenarios in changing financial projects. Reviews reconciled statements for expenditure compliance and potential unallowable charges. Reviews journal voucher adjustments for compliance, as needed.

  • Reviews close-out process ensuring compliant expenditures, completion of annual and other sponsor technical reports. Ensure required documentation is provided to the University Research Office including cost share match documentation, verify F&A and other expenditures.

Key Competencies:

  • An ability to prioritize and manage multiple time-sensitive issues and meet deadlines

  • Proficient in Excel and budget management for federal and non-federal sponsors

  • General familiarity with the Uniform Guidance, regulating federal allowable and unallowable costs preferred.

  • An ability to standardize grant finance operations to improve efficiency

  • Experience with budget preparation, fiscal management, knowledge of finance, accounting, budgeting, and cost control procedures.

  • An ability to organize, analyze and interpret financial data with attention to detail under pressure is essential.

  • An understanding and strong interest in elevating customer service.

Minimum Qualifications

  • Bachelor’s degree in accounting, finance, business administration or other business-related field and 1-2 years of job-related experience, or equivalent combination of education and experience.

  • At least 3 years’ experience in project management, finance and accounting.

  • Experience in the finance operations of sponsored programs, including but not limited to grant invoicing, fund drawdowns, producing finance reports, calculating research expenditures.

  • Experience in managing sponsored project expenditures.

Preferred Qualifications

  • Master’s degree is preferred but not required.
